The problem
Spring brings a pile of paperwork: nursery deliveries, compost and sundries, café supplies. If a garden center has 120 invoices and receipts a month and each takes 4 minutes to key in and code, that's 480 minutes, 8 hours a month, often done weeks late.
What the AI does
Dext is bookkeeping software. Its site says you can send receipts and invoices by mobile, email, WhatsApp or desktop; it reads the supplier, line items and due date, categorizes them by rules you set and publishes them to your accounting software after you review and approve. Its FAQ names Xero as one integration. Forward supplier emails to your Dext address, photograph paper delivery notes and invoices when they arrive, set a rule for each regular nursery and supplier, and approve in a weekly batch. Line item extraction is a paid option and isn't needed to start.
A worked example
A family-run garden center near Evesham has about 120 supplier documents a month in spring. It already pays for Xero Grow ($52£39€46A$75C$73 a month) and forwards invoices to Dext.
Before
120 documents at 4 minutes to key in and code: 480 minutes, 8 hours a month
After
120 documents at 1.5 minutes to check and approve: 180 minutes, 3 hours a month
What it's worth
About 5 hours a month saved in spring (300 minutes), worth around $133£100€119A$192C$188 if your time is worth $27£20€24A$38C$38 an hour. Dext's default of 250 documents and 5 users is $32.15£24.17€28.76A$46.41C$45.44 a month excluding VAT billed annually; monthly billing isn't shown on the page and is estimated at roughly $40£30€36A$58C$56. Xero Grow at $52£39€46A$75C$73 is assumed already paid.
How to set it up
- Agree with your bookkeeper or accountant that supplier documents will go through Dext.
- Start a Dext trial and connect it to Xero.
- Set rules for regular nurseries, compost suppliers and café suppliers so they land in the right category.
- Forward emailed invoices to your Dext address and photograph paper ones on the day.
- Each week, check the amounts and dates Dext read and approve into Xero.
What goes wrong
- Xero says smart document capture is included on all its plans; try that first and pay for Dext only if it saves real time.
- Dext can misread amounts, dates or credit notes for dead plants; check each before you approve.
- Different items can carry different VAT treatment; ask your accountant how to code them rather than trusting the automatic category.
- Dext is priced by documents and users; past 250 documents a month you need a higher band.
