The problem
A garden center's team doubles in spring with weekend students and part-timers, and the rota becomes a weekly puzzle. If the owner spends 2 hours a week on it (120 x 4.3 = 516 minutes) and handles 20 swap or holiday messages a month at 5 minutes (100 minutes), that's 616 minutes, 10.3 hours a month.
What the AI does
RotaCloud is rota software. Its site lists drag-and-drop rota planning, staff availability patterns, holiday management and shift swapping on the Standard plan, with leave request rules on Pro, and a mobile app where staff see shifts and send availability and swap requests. Pricing is by the number of employees, including you: Standard is $27£20€24A$38C$38 a month for 6 to 10 people and $53£40€48A$77C$75 for 11 to 20, from the page's team-size selector. Build each week from what staff have said they can work, publish it, and approve swaps in the app.
A worked example
A family-run garden center near Evesham has 6 staff all year, including the owner, and 14 from March to June with weekend students. The rota is built in RotaCloud every Thursday.
Before
2 hours a week on the rota (516 minutes a month) plus 20 swap and holiday messages at 5 minutes (100 minutes): 616 minutes, 10.3 hours a month
After
40 minutes a week on the rota (172 minutes a month) plus 20 swaps approved at 1 minute (20 minutes): 192 minutes, 3.2 hours a month
What it's worth
About 7.1 hours a month saved in spring (424 minutes), worth around $188£141€168A$271C$265 if your time is worth $27£20€24A$38C$38 an hour. RotaCloud Standard is $53£40€48A$77C$75 a month for 11 to 20 people in the busy months and $27£20€24A$38C$38 for 6 to 10 the rest of the year, from the page's team-size selector, so check the price for your headcount.
How to set it up
- Start the 30-day free trial, which needs no payment details, before the spring staff start.
- Add everyone, including yourself, and enter each person's usual availability.
- Build the week by dragging shifts, making sure each area (tills, plants, café, yard) is covered.
- Publish the rota and agree that swaps go through the app for you to approve.
- Keep holiday and hours records for payroll outside the rota.
What goes wrong
- Pricing is by headcount; adding seasonal staff moves you into a higher band, so check the selector before March.
- Staff under 18 have stricter limits on hours and breaks; the rota doesn't check them for you, so check government guidance for young workers.
- SMS notifications and time clocking are separate add-ons, not in the prices here.
- Staff must open the app; agree what happens when someone misses a change.
