The problem
Workshops sell out by phone, which means taking card details, writing lists and ringing round when someone drops out. If a garden center runs 8 wreath-making sessions of 12 places in December and each booking takes 6 minutes, that's 96 x 6 = 576 minutes, 9.6 hours in one month.
What the AI does
Bookwhen is booking software for classes and events. Customers book and pay on your booking page, and you see the attendee list for each session. Its pricing page shows, in euros excluding VAT, Lite at €12 (about $13£10€12A$19C$19) a month, which takes payments, and Standard at €19 (about $21£16€19A$31C$30) a month, which adds a waiting list, reminder emails and attendance tracking with 800 bookings a month. The free plan only covers free events. Put each workshop on the booking page with the date, price, what's included and your cancellation terms, and share one link.
A worked example
A family-run garden center near Evesham runs 8 wreath-making workshops of 12 places each in December, and a few talks in spring, booked through Bookwhen Standard.
Before
96 bookings at 6 minutes by phone: 576 minutes, 9.6 hours in December
After
About 30 seconds a booking checking lists and refunds: 96 x 0.5 = 48 minutes in December
What it's worth
About 8.8 hours saved in December (528 minutes), worth around $234£176€209A$338C$331 if your time is worth $27£20€24A$38C$38 an hour. Bookwhen Standard is €19 (about $21£16€19A$31C$30) a month excluding VAT; Lite at €12 (about $13£10€12A$19C$19) takes payments but has no waiting list or reminders. Card payment fees are separate. In quiet months the saving is smaller.
How to set it up
- Sign up for Bookwhen and check the price in pounds on its page for your plan.
- Connect a payment method (Bookwhen Payments, Stripe or PayPal) and set VAT on ticket prices with your accountant.
- Add each workshop with date, length, price, places, what's included and your cancellation and refund terms.
- Turn on the waiting list and reminder emails, then book a test place yourself.
- Share the link on your website, social pages and a poster at the till.
What goes wrong
- Bookwhen shows prices in local currency, plus VAT; check the sterling price before you commit.
- Card payment fees come on top of the plan; build them into the ticket price.
- Paper tickets sold at the till and online bookings can overbook a session; sell all places through the booking page.
- If a session is canceled for bad weather or illness, you'll need to refund through your payment provider; decide your terms before you publish.
