The problem
Self-employed trainers with qualifying income over $66,500£50,000€59,500A$96,000C$94,000 should have started Making Tax Digital for Income Tax from 6 April 2026, and those over $39,900£30,000€35,700A$57,600C$56,400 start from 6 April 2027, according to GOV.UK. That means digital records and a quarterly update to HMRC, with the next standard deadline on 7 November 2026 for the period to 5 October.
What the AI does
Xero is online accounting software. Its UK pricing page lists every plan, from Ignite at $24£18€21A$35C$34 a month plus VAT, as Income Tax ready for Making Tax Digital, with 90% off for the first 6 months for new customers. Connect your bank feed, record income and expenses as you go, and Xero adds up your records to send each quarterly update, which GOV.UK describes as summaries of income and expenses, not tax returns. Write the four deadlines in your main diary first, with a reminder two weeks before each, and check each update with your accountant if you have one. You still file a tax return after the year ends.
A worked example
A self-employed personal trainer in Nottingham had qualifying income of about $69,160£52,000€61,880A$99,840C$97,760 in 2024 to 2025 and kept records in a spreadsheet. They sign up for Xero Ignite, connect their business bank account and put the quarterly deadlines in their diary.
Before
Records in a spreadsheet and 0 software able to send the 4 quarterly updates
After
Bank feed in Xero, records kept weekly and 4 quarterly updates a year sent from Xero
What it's worth
No money saving is claimed: this keeps you within the Making Tax Digital rules. Ignite costs $24£18€21A$35C$34 a month plus VAT, or about $3£2€2A$4C$4 a month for the first 6 months with the new-customer discount.
How to set it up
- Check on GOV.UK whether and when Making Tax Digital applies to you, and sign up through HMRC if it does.
- Sign up for Xero Ignite, authorize it with HMRC and connect your business bank account.
- Record the four quarterly deadlines in your main diary, with a reminder two weeks before each, and check them against GOV.UK each year.
- Code your bank transactions each week so each update is quick.
- Before each deadline, review the figures yourself or with your accountant and send the update.
What goes wrong
- A missed deadline is your responsibility. Diary reminders and software notifications can fail silently, so check the next deadline at the start of every month.
- GOV.UK says late quarterly updates don't earn penalty points in the 2026 to 2027 tax year, but they do in later years; don't build the habit of being late.
- Ignite is limited to 20 invoices a month; trainers who invoice each client individually may need Grow at $52£39€46A$75C$73.
- Quarterly updates aren't your tax return. You still file a final return for the year, and the tax isn't due quarterly.
