The problem
New enquiries come by Instagram, text and email, and each one needs several messages to find a time. If you get 15 enquiries a month and each takes 10 minutes of back and forth, that's 150 minutes, 2.5 hours.
What the AI does
Calendly's pricing page shows a free plan with one event type and one calendar connection. Create one event type for a free intro session, connect your calendar and put the link in your Instagram bio and replies. Enquirers choose a slot that is free in your calendar. Standard adds automations and reminders, and lets you connect Stripe or PayPal to take payment. The intro session is where you go through health and goals with the client yourself. Don't collect health details through the booking page; if you add questions, keep them to goals and availability. Check what Calendly sends to the enquirer when they book.
A worked example
A personal trainer in Cardiff gets about 15 enquiries a month and arranges each intro session by message.
Before
15 enquiries a month, 10 minutes of messages each: 150 minutes, 2.5 hours
After
Send the link in 2 minutes each: 30 minutes, 0.5 hours
What it's worth
About 2 hours a month saved (120 minutes), worth about £70 at £35 an hour. The Free plan costs nothing. Standard is $10 (about £8) a seat a month billed yearly on Calendly's page, and costs more billed monthly, if you want reminders or payment at booking.
How to set it up
- Create a Calendly account and connect the calendar you actually use for client sessions.
- Make one event type, 'Free intro session', with the length and location you offer.
- Put the link in your bio, replies and email signature.
- Make a test booking as a client and read what they see and receive.
- At the intro session, do your own health and goal screening in person, before you plan any training.
What goes wrong
- The Free plan has one event type and no reminders or payments, so a no-show costs you the slot; Standard adds reminders.
- Don't take health details through the booking form. Use your own screening in person.
- Two calendars out of step can double-book you. Connect the one you really use.
- An intro session is a chance to ask what the client needs, not to promise results; keep any claims you make honest and non-medical.
