The problem
Weekly check-ins keep clients going, but writing 20 individual messages takes a chunk of the weekend. At 6 minutes each, that's 120 minutes, 2 hours a week, about 8.6 hours a month (x 4.3).
What the AI does
Each week, jot a line per client, such as 'did 3 sessions, said work was busy, goal is 5k in May'. Use first names or initials only and no health details. Paste the notes into ChatGPT, Claude or Gemini and ask for a short, friendly check-in in your voice for each. Read each one, correct anything wrong, add the personal touch and send it yourself. The messages encourage; they don't give medical or nutrition advice. Anything about pain, injury or a medical condition you answer yourself or refer to the client's GP.
A worked example
A personal trainer in Sheffield checks in with 20 clients every week by message, about 6 minutes each.
Before
20 messages a week at 6 minutes: 120 minutes, 2 hours; about 8.6 hours a month
After
About 2 minutes each to check and personalise: 40 minutes a week, about 2.9 hours a month
What it's worth
About 5.7 hours a month saved (80 minutes a week x 4.3), worth about £200 at £35 an hour. Free plans can do this; a paid plan is about £15 to £20 a month for one person.
How to set it up
- Keep a one-line note per client during the week: sessions done, one detail about their life, current goal.
- Paste the notes (first names or initials only, no health details) into ChatGPT, Claude or Gemini and ask for a short check-in per client in your tone.
- Read each message, fix errors and add something only you would know.
- Send them yourself from your usual messaging app.
- Save the prompt that works best so each week takes minutes.
What goes wrong
- Never paste client health information, photos or full names into a consumer assistant.
- Don't let the assistant answer questions about pain, injury, medication or diet for a medical condition. That is for you and the client's GP.
- Generic messages feel generic. Always add something personal.
- Don't send automated messages unchecked; a wrong detail loses trust.
