The problem
Many venues won't let a DJ set up without a current public liability insurance certificate and evidence the kit has been PAT tested, and some ask for them weeks ahead. A DJ with around 6 renewal dates a year (insurance, PAT testing, a music license, vehicle MOT and insurance) who checks a folder every week spends about 20 minutes a week, 86 minutes a month, and a lapsed certificate found at the venue door can mean not playing.
What the AI does
The primary record stays where it is: every date goes first in your main diary or booking system, with the certificate saved and a second check. This use case adds a backup. Make a Google Calendar event for each renewal date, then build two Zapier automations that start a set time before an event begins, one at 30 days and one at 7, and send you an email through Gmail. The email is a prompt to check the real record and book the test or renew, not proof that anything is valid.
A worked example
A mobile DJ in Hampshire has about 6 renewal dates a year and venues that ask for certificates in advance. They keep the dates in their diary with a folder of certificates, and add a backup calendar event with two Zapier emails for each.
Before
About 20 minutes a week checking the folder and diary: 86 minutes a month
After
About 5 minutes a week acting on reminders and checking the main record: about 22 minutes a month
What it's worth
The value here isn't monetary: it is a backup behind the DJ's own diary, so the monthly value is set at nil. It also saves about an hour a month (86 minus 22 = 64 minutes), which isn't priced. 6 dates × 2 reminders = 12 emails a year, well inside Zapier's Free plan of 100 tasks a month.
How to set it up
- List every renewal date first in your main diary or booking system, with the certificate saved and the provider's details, and have someone else check the list once.
- Add a Google Calendar event for each date with a clear title, such as 'PAT test due: book electrician'.
- In Zapier, create one Zap that starts 30 days before an event and emails you, and a second at 7 days.
- Test with a dummy event and check both emails arrive.
- Once a month, compare the calendar with your main record and check a test email still arrives.
What goes wrong
- Automations can fail silently: an expired Google connection stops the emails with no warning. The monthly test catches it.
- The reminder isn't the record. If you renew early, update the main diary and the calendar event together.
- Venues set their own rules on PAT testing and insurance cover. Check each venue's requirements, not just your renewal dates.
- Keep certificates where you can show them on your phone at the venue; a reminder email doesn't help at the door.
