The problem
Wedding DJs get inquiries at night and at weekends, often while they're playing, and couples send the same date to several DJs. A mobile DJ getting 20 inquiries a month who spends 25 minutes on each (checking the diary, writing a quote, sending a contract as a PDF and chasing the signature) spends over 8 hours a month, and a reply that waits until Monday can lose the booking.
What the AI does
Gigbuilder is client management software for DJs. Its site says couples can check your date with an availability form or an AI chatbot on your website, inquiries get automatic replies, contracts go out as a link to sign, and deposits are taken by card or payment apps, with Stripe, Square and PayPal listed, and balances tracked against due dates. Every account gets a client portal. Set up your packages and prices once, and the first reply goes out while you're still behind the decks.
A worked example
A mobile wedding and party DJ in Essex gets about 20 inquiries a month, mostly for Saturdays. They add Gigbuilder's availability form to their website, write an automatic reply with packages and prices, and send contracts as a link instead of a PDF.
Before
About 25 minutes per inquiry: 20 × 25 = 500 minutes, over 8 hours a month, with weekend inquiries waiting until Monday
After
Automatic replies within minutes, and about 10 minutes per inquiry to follow up: 200 minutes, about 3.3 hours a month
What it's worth
About $166£125€149A$240C$235 a month saved, against about $25£19€23A$36C$36 for Gigbuilder Basic. That's 5 hours (500 minus 200 minutes) at an assumed $33£25€30A$48C$47 an hour. Basic is $25 (about $25£19€23A$36C$36) a month; Pro at $35 (about $35£26€31A$50C$49) adds unlimited people and website hosting. Bookings won by replying first aren't counted.
How to set it up
- Start the free trial and enter your packages, prices, travel charges and the dates you're already booked.
- Add the availability form to your website so couples can check their date before they inquire.
- Write the automatic reply in your own words, with packages, what's included and how to book.
- Upload your contract, connect a payment provider such as Stripe or PayPal, and set the deposit and when the balance is due.
- Send a test inquiry and contract to yourself and read them as a couple would.
What goes wrong
- The availability check is only as good as your diary. Block every gig, holiday and dep cover in Gigbuilder, or it will show dates you can't do.
- Gigbuilder gives you contract tools, not terms. Have your cancellation and postponement terms checked for UK consumer law.
- Prices are in dollars, and the 15% annual saving is shown only as a percentage, so check the annual price before paying upfront.
- The page only splits plans by people, texting, games and website hosting. Confirm during the trial that everything you need is on Basic.
