The problem

Quarterly reviews keep contract clients but the write-up eats time: what was agreed about backups, which laptops to replace, who approves the budget. With 25 contract clients reviewed each quarter, that's about 8 calls a month, and at 40 minutes to write up each one, over 5 hours a month.

What the AI does

Fathom's AI note-taker joins Google Meet, Zoom or Microsoft Teams calls, records and transcribes them, and writes a summary. Its Premium plan adds advanced summaries and AI action items. After each review you check the summary against what was agreed, correct it and send it to the client with the actions and owners, then log the actions as tickets.

A worked example

A three-person IT support company in Cardiff holds a 30-minute Teams review with each of its 25 contract clients once a quarter. The owner runs the reviews with Fathom recording.

Before

About 8 review calls a month at 40 minutes of write-up each: 320 minutes, 5.3 hours

After

About 10 minutes to check and send each summary: 80 minutes, 1.3 hours

What it's worth

About $239£180€214A$346C$338 a month in time saved: 4 hours (320 minutes down to 80) at an assumed $60£45€54A$86C$85 an hour. Fathom Premium is $16 (about $16£12€14A$23C$23) a user a month billed annually or $20 (about $20£15€18A$29C$28) monthly, for the one person who runs the reviews. The free plan includes AI call summaries, but its limits aren't clearly stated.

How to set it up

  1. Try Fathom's free plan on two or three internal calls to see the summaries.
  2. Tell clients in the meeting invite that the call will be recorded and why, and ask at the start of the call.
  3. Move the person who runs reviews to Premium if you need the AI action items.
  4. After each review, check the summary against your own notes, correct anything wrong and send it to the client within a day.
  5. Turn each agreed action into a ticket or task with a date, so the next review starts from the list.

What goes wrong

  • Recording a call without telling people is a UK GDPR problem. Get agreement every time, and offer not to record.
  • Reviews can touch passwords or security gaps. Pause the recording for those parts and keep sensitive detail out of the summary email.
  • Fathom's pricing page doesn't say whether customer data trains AI models. Ask before recording clients' confidential plans.
  • AI action items can miss or invent an owner. Never send a summary you haven't read.
