The problem
Month-end billing at a small IT support company means counting users, devices and Microsoft 365 licenses for every contract client and building each invoice by hand. With 25 contract clients at 15 minutes each, that's over 6 hours a month, and licenses added mid-month slip through. If 15 licenses a month never reach an invoice at $13£10€12A$19C$19 each, that's $200£150€179A$288C$282 a month given away.
What the AI does
Syncro combines remote monitoring, a helpdesk and billing in one platform. Its pricing page lists recurring billing automation on every plan, to automate monthly client billing cycles, alongside estimates, invoicing and payments. The Team plan adds automated license billing, which tracks Microsoft 365 license consumption per client and feeds the usage into billing. You set up each client's contract once, and the monthly invoices are produced from it; a person checks them before they go.
A worked example
A three-person IT support company in Leicester looks after 25 small offices on monthly contracts. The two technicians who use the platform move from a separate monitoring tool and spreadsheet billing to Syncro Team, and the owner sets up each contract and license line once.
Before
25 invoices built by hand at 15 minutes each (6.25 hours a month), with about 15 licenses a month missed at $13£10€12A$19C$19 each
After
Invoices produced from the contracts and checked in about 3 minutes each (1.25 hours a month), with license changes picked up
What it's worth
About $499£375€446A$720C$705 a month: $299£225€268A$432C$423 of time saved and $200£150€179A$288C$282 of licenses that now get billed. The time is 5 hours a month (6.25 down to 1.25) at an assumed $60£45€54A$86C$85 an hour; the licenses are 15 a month at $13£10€12A$19C$19 each, counted in full because they are charges for services already supplied. Syncro Team for two technicians is $358 (about $358£269€320A$516C$506) a month billed annually, or $418 (about $418£314€374A$603C$590) billed monthly, so it pays back on billing alone and more so if it replaces a monitoring tool and helpdesk you already pay for.
How to set it up
- List every contract client with what they pay for: per user, per device, fixed fee and resold licenses.
- Start Syncro's 14-day free trial (no card needed) and import your clients and devices.
- Set up recurring billing for each contract, and on the Team plan connect the Microsoft 365 tenants so license usage feeds into billing.
- Run the first month's invoices alongside your old spreadsheet and check every line before anything is sent.
- After that, review the invoice batch each month before it goes out, and investigate any client whose total changes sharply.
What goes wrong
- Syncro is priced per technician who uses it, not per client. Count everyone who needs a login before choosing between annual and monthly billing.
- Automated license billing is listed on the Team plan only. On Core, you still update license counts on each contract yourself.
- Moving from another monitoring tool means redeploying agents to every device; plan the switch client by client rather than all at once.
- Syncro's pricing page says its AI features are free through January 2027 and then run on usage credits. Budget for that if your team comes to rely on the Team plan's AI ticket features.
