The problem
Many small offices keep laptops until they die, usually on a busy Monday. The IT support company then spends unbillable hours firefighting, and the client often buys the replacement online in a hurry. If a quarterly look at aging devices turned 9 of those emergencies into planned replacements you supply and set up, at an assumed $200£150€179A$288C$282 profit each, that's about $599£450€536A$864C$846 a month.
What the AI does
Syncro's monitoring agent records each managed device, and its pricing page lists asset warranty tracking on every plan, to track device age and warranty status across your client base for refresh planning. Each quarter you look through the out-of-warranty and oldest devices for each client and send a short, priced replacement plan, so replacements happen on a planned date instead of after a failure.
A worked example
A two-technician IT support company in Swindon manages about 300 laptops and desktops across 25 clients. Each quarter the owner reviews the warranty and age list in Syncro and sends each affected client a replacement plan with prices.
Before
0 planned replacements: devices replaced only when they fail, often bought by the client online in a rush
After
9 planned replacements a quarter supplied and set up by the company, about 3 a month
What it's worth
About $599£450€536A$864C$846 a month in profit, from 3 planned replacements a month (9 a quarter) at an assumed $200£150€179A$288C$282 profit each: $133£100€119A$192C$188 margin on the hardware and $67£50€60A$96C$94 on the setup time. That is against Syncro Core for two technicians at $258 (about $258£194€231A$372C$365) a month billed annually, or $318 (about $318£239€284A$459C$449) billed monthly; if you already run Syncro for monitoring, the warranty tracking costs nothing extra.
How to set it up
- Install the Syncro agent on every managed device so the asset list is complete.
- Check that warranty and age information appears for each device, and fill gaps for devices it can't look up.
- Each quarter, sort each client's devices by warranty status and age and pick the ones to replace in the next 3 to 6 months.
- Send each client a short plan: which devices, why, the price and a suggested date that avoids their busy periods.
- Book the agreed replacements in as planned jobs and record the old devices' disposal.
What goes wrong
- Warranty data can be missing or wrong for some makes or second-hand devices. Check odd entries before telling a client a device is out of warranty.
- A replacement plan that reads like a sales push will be ignored. Lead with the risk and the date, and keep the list short.
- Syncro is priced per technician; the cost here assumes two technicians on Core. More logins cost more.
- Disposing of old devices means wiping or destroying the drives. Build that, and a disposal record, into the replacement price.
