The problem
In a small IT support company, the details of each client's setup often live in one technician's head, an old spreadsheet and a trail of emails. When that person is off, everyone else hunts. If 3 technicians each lose 2 hours a week looking for passwords, network diagrams and how a client's printer was set up, that's about 26 hours a month.
What the AI does
Hudu is documentation software built for IT teams. Its pricing page lists centralized documentation, a password vault, asset management, expirations, process and SOP management, a secure client portal and the Hudini AI assistant, all in one per-user price. Each client gets a page with their network, assets, logins and step-by-step guides, linked together, so a technician on a call finds the answer in one search.
A worked example
A four-person IT support company in Norwich has 3 technicians covering about 30 small business clients. They move client notes, passwords and setup guides out of spreadsheets and shared mailboxes into Hudu over a month, one client at a time.
Before
About 6 hours a week (26 hours a month) lost across 3 technicians hunting for client information
After
If documented clients halve that search time: about 13 hours a month saved
What it's worth
About $773£581€691A$1,116C$1,092 a month in time saved, if Hudu halves the hunting: 6 hours a week across the team, times 4.3, is 25.8 hours a month, and half of that is 12.9 hours at an assumed $60£45€54A$86C$85 an hour. Hudu is $27 (about $27£20€24A$38C$38) a user a month billed annually, so 3 technicians cost about $81£61€73A$117C$115 a month.
How to set it up
- Start Hudu's free trial (no card needed) and set up a standard page layout for each client: network, devices, logins, suppliers and contacts.
- Document your three busiest clients first, moving passwords into the vault rather than copying them into notes.
- Write a short step-by-step guide each time a technician solves something that will come up again.
- Set user permissions so each person sees only the vault entries they need.
- Delete the old spreadsheets and shared password files once a client is fully documented, so there is one source of truth.
What goes wrong
- Documentation only helps if it's kept current. Make updating Hudu part of closing every ticket that changes a client's setup.
- A password vault is a high-value target. Turn on multi-factor authentication for every user and remove leavers' access on their last day.
- Hudu is priced per user and the $27 is the annual-billing figure; the page says annual saves 10%, so monthly billing costs more.
- Copying passwords into notes or tickets during the move defeats the point. Check the old systems are cleared.
