The problem
Tattoo inquiries arrive by Instagram DM, email and Facebook, and most miss the placement, size or a reference image, so each one takes several messages before an artist can even think about it. A studio getting 20 inquiries a week, at 6 minutes of back-and-forth each, spends 2 hours a week, about 8.6 hours a month (times 4.3), just collecting details.
What the AI does
Tally's free plan builds a form with conditional logic, file uploads up to 10 MB a file and email notifications to you, and it connects to Zapier. Ask for placement, size in centimetres, style, color or black and gray, reference images, preferred artist and a rough budget, plus a box confirming the client is 18 or over. Put the link in every bio and auto-reply. In Zapier, each new submission adds a row to a shared Google Sheet, is tagged for the requested artist with a filter or path, and the client gets a short acknowledgment email from the studio address. Filters, paths and multi-step Zaps need Zapier's Pro plan. The artist still reads every inquiry and replies personally.
A worked example
A three-artist studio in Brighton gets about 20 inquiries a week. The owner swaps 'DM to book' for a Tally form link in the Instagram and Facebook bios and the DM auto-reply. A Zapier automation files each inquiry in a shared Google Sheet with a column for the requested artist and emails the client to say it has arrived and when to expect a reply.
Before
About 6 minutes of back-and-forth per inquiry to get placement, size and references, 20 inquiries a week
After
Inquiries arrive complete and sorted by artist; about 2 minutes each to read and reply
What it's worth
About $190£143€170A$275C$269 a month in time saved: 4 minutes saved on each of 20 inquiries a week is 80 minutes, times 4.3 is about 5.7 hours, worth $190£143€170A$275C$269 at $33£25€30A$48C$47 an hour. That is against Zapier Pro at $19.99 (about $20£15€18A$29C$28) a month billed yearly, or $29.99 (about $29£22€26A$42C$41) billed monthly; Tally's free plan covers the form.
How to set it up
- Build the form in Tally: placement, size in centimetres, style, color or black and gray, up to 3 reference images, preferred artist, rough budget and a box confirming the client is 18 or over.
- Put the form link in every Instagram and Facebook bio and in the auto-reply to DMs and emails.
- In Zapier, create a Zap that runs on each new Tally submission, adds a row to a shared Google Sheet and sends the client a short acknowledgment from the studio email.
- Add a filter or path so each inquiry is tagged for the artist the client asked for.
- Each artist works through their rows, replies personally and marks each one as quoted, booked or declined.
What goes wrong
- Zapier's free plan only runs two-step Zaps and has no filters or paths, so this needs Pro. At about 86 inquiries a month (20 × 4.3) and 2 or 3 steps each, it fits inside Pro's 750 tasks.
- Tally's free plan caps uploads at 10 MB a file. Ask for screenshots rather than full-size photos, or allow for Pro at €20 (about $23£17€20A$33C$32) a month.
- Don't ask about medical conditions or skin problems in an inquiry form. That belongs in the consultation and consent paperwork, kept privately.
- The age box isn't an ID check. Tattooing anyone under 18 is an offense under the Tattooing of Minors Act 1969, so check photo ID at the appointment.
