The problem

With gloves on and a machine running, nobody in a small studio wants to stop and answer the phone, so calls go to voicemail and many callers try the next studio. If that loses 1 booking a fortnight worth $200£150€179A$288C$282 that's about $430£323€384A$620C$607 a month (about 2.15 bookings a month).

What the AI does

Fresha's AI Concierge is an add-on to its booking software. Its page says it answers calls and replies to messages, books and reschedules appointments in the Fresha calendar, answers common questions from a knowledge base you add, transfers calls to a number you set and passes on messages it can't handle. Every call is recorded and transcribed. Set it to book consultations and fixed-price work only, and to take a message for custom designs, cover-ups and anything about health or skin, so an artist calls back. It costs €94.95 a location a month with 200 minutes and 500 messages included, then €0.57 a minute and €0.04 a message.

A worked example

A three-artist studio in Newcastle misses about 8 calls a week while everyone is tattooing. Bookings already run through Fresha on the Team plan. The owner adds AI Concierge, loads the studio's FAQs on prices for flash, parking, age and ID rules and how consultations work, and sets custom-design calls to be passed on as messages.

Before

About 8 missed calls a week, with roughly 1 booking a fortnight going to another studio

After

Every call answered; consultations booked straight into Fresha, worth about $430£323€384A$620C$607 a month in sessions

What it's worth

About $258£194€231A$372C$365 a month in profit, at an assumed 60% margin on $430£323€384A$620C$607 of extra sessions (1 more $200£150€179A$288C$282 booking a fortnight, about 2.15 a month). That is against €94.95 (about $109£82€98A$157C$154) a month for AI Concierge if the studio already uses Fresha, or about $142£107€127A$205C$201 including Fresha Team for 3 artists (€9.95 each), shown in local currency on Fresha's page. At 8 calls a week of about 3 minutes, use is about 103 minutes a month, inside the 200 included.

How to set it up

  1. Add AI Concierge to your Fresha account and choose whether it uses your existing number or a new one.
  2. Fill in the knowledge base: flash prices, how consultations work, age and ID rules, parking and opening hours.
  3. Set custom designs, cover-ups and any health or skin questions to be passed on as messages for an artist to call back.
  4. Set when calls are answered by AI and when they transfer to the studio phone.
  5. Read the call transcripts every evening for the first fortnight and correct the knowledge base wherever it got something wrong.

What goes wrong

  • Tell callers they're speaking to an automated assistant and that calls are recorded, and update your privacy notice; recordings are personal data under UK GDPR.
  • Don't let it quote prices for custom work or say whether someone can be tattooed over a scar or skin condition. Those are an artist's decisions.
  • Over 200 minutes or 500 messages a month, extra use is charged at €0.57 a minute and €0.04 a message, so check usage in the first busy month.
