The problem
Flash days often run on DMs and a list on paper: people claim a slot, forget, and an artist sits idle. With 3 artists and 6 one-hour slots each, that's 18 slots at $106£80€95A$154C$150. If 3 go empty on the day, that's $319£240€286A$461C$451 lost every flash day, plus about 2 hours of messages managing the list.
What the AI does
Bookwhen is a booking system for classes, courses and events. Set the flash day up as an event with a one-place session for each artist's time slot, show the flash sheet in the description, and clients pay when they book; payments start on the Lite plan. The Standard plan adds waiting lists and reminder emails, so when a session is full people can join the waiting list, and booked clients get a reminder. Card fees go to the payment provider you connect: Bookwhen Payments, Stripe or PayPal.
A worked example
A three-artist studio in Leeds runs a flash day on the last Saturday of each month: 6 one-hour slots per artist at $106£80€95A$154C$150. Slots used to go to the first people to DM, with no payment, and about 3 of the 18 were empty on the day. The owner moves the flash day to Bookwhen and posts the booking link when the flash sheet goes live.
Before
Slots claimed by DM with no payment; about 3 of 18 empty on the day, and 2 hours spent managing the list
After
Slots paid for at booking, cancellations offered to the waiting list; about 1 empty slot instead of 3
What it's worth
About $194£146€174A$280C$274 a month: $128£96€114A$184C$180 in profit from 2 more filled slots on the monthly flash day (2 × $106£80€95A$154C$150 at an assumed 60% margin after needles, ink, consumables and card fees) plus about 2 hours of DM admin saved, worth $67£50€60A$96C$94 at $33£25€30A$48C$47 an hour. That is against Bookwhen Standard at €19 (about $21£16€19A$31C$30) a month plus VAT, about $27£20€24A$38C$38 with VAT, and card fees on each payment. The 2 recovered slots are an assumption.
How to set it up
- Create the flash day in Bookwhen as an event, with a one-place session for each artist's time slot and the flash sheet image in the description.
- Turn on payment at booking and connect Bookwhen Payments, Stripe or PayPal.
- Turn on the waiting list and reminder emails, which need the Standard plan.
- Write the terms on the booking page before anyone pays: what the price covers, the refund and transfer rules, and that clients must be 18 or over with photo ID.
- Post the booking link on Instagram when the flash sheet goes live, and stop taking claims by DM.
What goes wrong
- Bookwhen shows prices in local currency, plus VAT; check the price in pounds on its page before you subscribe.
- Lite (€12, about $13£10€12A$19C$19 a month) takes payments but has no waiting list or reminder emails; this setup needs Standard.
- State the refund rules before people pay and apply them the same way to everyone. Payment fees come out of every booking.
