The problem
Clients lose the aftercare sheet, or never get one when the artist is rushing to the next booking, then message late at night asking what to do. In a studio running 40 sessions a week, 10 routine aftercare questions a week at 5 minutes each is 50 minutes a week, about 3.6 hours a month (times 4.3).
What the AI does
Fresha is booking software that lists tattoo studios among the businesses it serves. Its help center says you can add aftercare instructions, policies or follow-up information in the Important info section of its automated appointment emails, including the Thank you for visiting message sent after an appointment is checked out. Paste in the studio's own aftercare sheet, the one already handed over on paper, and every client gets it by email after their session. Text messages follow a set format, so the aftercare goes only in the email. The same thank-you message invites a review, so keep that request neutral.
A worked example
A three-artist studio in Bristol already books through Fresha on the Team plan. The owner agrees one version of the aftercare sheet across the three artists, pastes it into the Important info field of the Thank you for visiting email and keeps handing out the printed sheet too.
Before
About 10 aftercare questions a week by message, 5 minutes each to answer
After
Every client gets the written aftercare by email after checkout; routine questions drop and the 50 minutes a week goes back to drawing
What it's worth
About $120£90€107A$173C$169 a month in time saved, if the email answers the 10 routine aftercare questions a week: 10 × 5 minutes is 50 minutes, times 4.3 is about 3.6 hours, worth $120£90€107A$173C$169 at $33£25€30A$48C$47 an hour. Fresha shows prices in local currency: Independent is €14.95 (about $17£13€15A$25C$24) a month for a solo artist, and Team is €9.95 (about $12£9€11A$17C$17) per artist, about $35£26€31A$50C$49 a month for 3. If you already book through Fresha it costs nothing extra.
How to set it up
- Agree one aftercare sheet across the studio, and check it against any guidance your local council gives with your tattoo registration.
- In Fresha, edit the Thank you for visiting automation under Marketing, Automations, Appointment updates, and paste the aftercare into the Important info field.
- Send yourself a test email and read it on a phone.
- Check out every appointment on the day: the help center says the thank-you message isn't sent if checkout happens more than 24 hours after the appointment time.
- Keep handing over the printed sheet, and tell clients to look out for the email.
What goes wrong
- Aftercare only goes in the email. Clients with no email address, or with notifications turned off, won't get it.
- The email gives your general care instructions, not medical advice. Tell clients to contact a pharmacist or GP if they're worried about a reaction or infection, and never diagnose by message.
- The thank-you message also invites a review. Never offer a discount or free touch-up for a good one: incentivized reviews are banned under the Digital Markets, Competition and Consumers Act 2024.
