The problem
Desk rent paid by bank transfer arrives late, short or not at all, and chasing it means awkward messages to people you work beside all week. With 4 resident artists, chasing and checking transfers can take about 45 minutes per artist a month, 3 hours in all.
What the AI does
GoCardless collects Direct Debits from bank accounts and charges per payment, with no monthly subscription. Its pricing page lists subscription payments on every plan, which can be paused, edited, scheduled or canceled from the dashboard. Set each artist's rent up as a monthly subscription matching their written desk agreement; each artist authorizes it once through the GoCardless payment page, and the dashboard shows what has been paid and what has failed. The Advanced and Pro plans add Success+, which the page says automatically recovers failed payments.
A worked example
A studio in Glasgow has 4 self-employed resident artists, each paying $665£500€595A$960C$940 a month in desk rent by bank transfer whenever they remember. The owner moves all 4 onto a GoCardless monthly subscription collected on the 1st, as their desk agreements already say.
Before
About 3 hours a month chasing and checking 4 rent transfers, with at least one late most months
After
Rent collected on the 1st by Direct Debit; about 15 minutes a month checking the dashboard
What it's worth
About $92£69€82A$132C$130 a month in time saved: chasing and checking 4 transfers takes about 3 hours a month, and checking the dashboard takes about 15 minutes, so 2.75 hours are saved, worth $92£69€82A$132C$130 at $33£25€30A$48C$47 an hour. GoCardless Standard costs $21£16€19A$31C$30 a month here (1% of $665£500€595A$960C$940 is $7£5€6A$10C$9 capped at $5£4€5A$8C$8 a payment, times 4 artists), or about $25£19€23A$36C$36 with the VAT it charges on fees.
How to set it up
- Make sure each artist has a written desk agreement stating the rent, the collection date and the notice period.
- Open a GoCardless account and create a monthly subscription for each artist's rent.
- Send each artist the payment page link to authorize the Direct Debit, and give them a few weeks' notice of the first collection.
- Check the dashboard on collection day and speak to anyone whose payment failed the same day.
- Update the subscription in the dashboard when rent changes, in line with the agreement's notice period.
What goes wrong
- Desk rent suits genuinely self-employed artists. Employment status depends on how someone works, not what the agreement calls them; check HMRC's employment status guidance or ask your accountant.
- Standard has no automatic retry of failed payments. Advanced costs 1.25% + 20p, capped at $7£5€6A$10C$9 so here it would be $7£5€6A$10C$9 a payment, not $5£4€5A$8C$8.
- GoCardless charges VAT on its fees even if you aren't VAT registered, so budget for the extra 20%.
