The problem
A reply that says "sorry your filler didn't settle" confirms a person is a patient and what treatment they had, which is a HIPAA problem, and the HHS Office for Civil Rights has fined practices over review replies that disclosed patient information. Writing careful replies takes time; 20 reviews a month at 8 minutes each is over 2.5 hours.
What the AI does
Paste only the review text, with no name and nothing from your records, into ChatGPT, Claude or Gemini and ask for a short, warm reply that thanks the reviewer and invites them to call, without confirming they are a client or mentioning any treatment, result or visit. You check every line and post it yourself. Complaints about results or side effects get a phone call from the owner or a licensed provider, never a detailed public reply.
A worked example
An illustrative example built from typical figures, not a named business.
A med spa in Las Vegas gets about 20 Google reviews a month. The owner replies to them each Friday using drafts from an assistant, with a fixed list of words that never appear in a reply.
Before
8 minutes per careful reply: 20 x 8 = 160 minutes a month
After
About 2 minutes per reply to paste, check and post: 40 minutes a month
What it's worth
About $80£60€72A$115C$113 a month saved (6 minutes x 20 reviews = 2 hours, at $40£30€36A$58C$57 an hour of the owner's time). The free plans of ChatGPT, Claude and Gemini can do this; a paid plan is about $20£15€18A$29C$28 a month for one person if you hit usage limits.
How to set it up
- Write the rules into your prompt: never confirm the person is a client, never name a treatment, provider, date or result, and invite them to call.
- Paste the review text only; no names, appointment details or chart notes go into a consumer AI plan.
- Check each draft against the rules, then post it from the business account.
- Route any complaint about results or side effects to a licensed provider for a private call.
- Keep a list of reviews answered and any follow-up calls made.
What goes wrong
- Even a friendly reply can confirm someone is a patient. Read every draft for names, treatments and dates before posting.
- Consumer AI plans don't sign a BAA, so never paste protected health information into them.
- Never offer anything in return for reviews or ask only happy clients; the FTC's rule on consumer reviews and Google's policies ban it.
