The problem
New clients fill in a clipboard of medical history and consent forms in the waiting room, the appointment starts late, and the injector re-asks half the questions. Someone then scans the paper. If the front desk spends 5 minutes on each of 120 forms a month and providers lose 10 minutes on each of 25 new-client visits, that's about 14 hours a month.
What the AI does
Mangomint's forms and charting let you build branded intake, medical history and consent forms with toggles, multiple choice and signatures. Forms can go out automatically for new clients and when specific services are booked, and clients complete them on their own phone without an account. Completed forms are saved to the client profile, and you can assign team members to review and approve them. Mangomint enables HIPAA on request and has you sign its BAA first. A licensed provider reads the history and decides on every treatment.
A worked example
An illustrative example built from typical figures, not a named business.
A med spa in Austin with two nurse injectors, an aesthetician, a medical director and two front desk staff sees about 120 visits a month, 25 from new clients. It moves its paper intake and consent forms into Mangomint.
Before
Paper forms in the waiting room; 10 hours a month of front desk handling and about 4 hours of provider time re-asking questions
After
All 120 forms a month completed before the visit and waiting in the client profile for the provider
What it's worth
About $449£338€402A$648C$635 a month saved: $220£165€197A$318C$311 of front desk time (10 hours at $22£17€20A$32C$31) and $229£172€205A$331C$324 of provider time (about 4.2 hours at $55£41€49A$79C$78). That is against $180£135€161A$260C$254 a month for Mangomint: $120£90€107A$173C$170 for the location plus $10£8€9A$14C$14 for each of 6 users.
How to set it up
- Before entering any health information, contact Mangomint Support, request HIPAA enablement, sign the BAA and wait for their confirmation.
- Have your medical director approve the wording of intake and consent forms for each treatment.
- Set forms to send automatically for new clients and when injectables, fillers or laser services are booked.
- Assign a licensed provider to review and approve each intake before the appointment; the provider decides on treatment.
- Send only the form link by text, never health details, and get consent for any marketing texts under the TCPA.
What goes wrong
- HIPAA isn't on automatically. Until Mangomint confirms enablement, keep health information out of the account.
- Every staff profile counts as a user at $10£8€9A$14C$14 a month, including front desk and booth renters.
- A signed form isn't informed consent on its own; the provider still discusses risks with the client.
- Mangomint says your business stays responsible for staff access, training and its own HIPAA policies.
