AI for plumbers: five jobs it can take off your hands

Five AI and software ideas for plumbers, from free job write-ups to an AI receptionist, with what each costs, which to start with and what to watch.

By GetInto AI · · 5 min read

Much of the money a plumbing business loses goes missing between jobs, not on them: the call that rang out while you were under a sink, the quote nobody chased, the boiler customer who forgot their service, the certificates written up at nine at night. Five ideas on this site deal with those gaps, for between nothing and about $148£111€132A$213C$209 a month. Every cost and saving below comes from the worked example on each idea's page. Those examples are illustrative, built from typical figures rather than a named business, so rework them with your own jobs and rates.

Start with the free one: job write-ups

The job write-ups idea costs nothing to try and needs no new software. After each job you paste your rough phone notes into ChatGPT, Claude or Gemini with a standing instruction, and get back a short customer summary and a one-line invoice description. In the worked example, a plumber in Norwich doing 8 jobs a week goes from about 80 minutes a week of evening write-ups to about 16 minutes, mostly checking. That is about 4.6 hours a month, or around $245£184€219A$353C$346 if your time is worth $53£40€48A$77C$75 an hour.

It is the right first step because it shows you, cheaply, where AI drafts well and where it goes wrong. It only knows what you tell it, so vague notes get a vague write-up. It can add a guarantee or a safety claim you never gave, so read every sentence before it goes out. And keep customer phone numbers and full addresses out of the chat: describe the work, not the customer.

The biggest return: quotes and reminders in one app

The largest figure among the five comes from quote follow-up. In its example, a three-person plumbing and heating firm sends about 15 quotes a month and turns on Tradify's quote reminders. Two more wins a month on a $1,197£900€1,071A$1,728C$1,692 average quote is $2,394£1,800€2,142A$3,456C$3,384 of work, or about $718£540€643A$1,037C$1,015 in profit at an assumed 30% margin. The catch is per-user pricing: Tradify Pro is $49£37€44A$71C$70 a user, so that firm pays about $148£111€132A$213C$209 a month, not $49£37€44A$71C$70. Reminders only chase quotes sent from the app, so a PDF quote from your own email won't be followed up.

Boiler service reminders fill the quiet months with repeat work. A solo engineer in Leeds with 120 customers on $113£85€101A$163C$160 yearly services keeps about 2 extra services a month, around $226£170€202A$326C$320 of work. These two ideas fit together. As of October 2026, Tradify's UK pricing page lists quote reminders on Pro and Plus, and service reminders on Plus only, at $59£44€52A$84C$83 a user. A sole trader who wants both pays $59£44€52A$84C$83 a month for one plan, not two systems. Service reminders go by email only, so ring the customers who have no email address on file.

Answering the phone while your hands are full

The AI receptionist idea uses Jobber's AI Receptionist, which answers calls, books routine jobs into free slots and transfers or texts you when a caller uses a keyword you choose, such as 'leak' or 'no heating'. In the example, a one-van plumber in Bristol misses about 5 calls a week and books 1 to 2 extra jobs a week as a result, about $306£230€274A$442C$432 to $599£450€536A$864C$846 a month in profit at a 30% margin, against $59£44€52A$84C$83 to $128£96€114A$184C$180 for the service. Jobber's pricing page shows the receptionist included on its Plus plan and as a $29 (about $29£22€26A$42C$41) monthly add-on on the others.

If you choose Jobber, note that its Connect plan also lists automated quote follow-ups, so check whether it covers the quote idea before you add Tradify as well. Running two job management systems doubles the diary you have to keep straight, and the receptionist books into whatever your diary says. Keep it to booking and messages: it can't diagnose a fault over the phone, so don't let it quote for anything but fixed-price jobs. For a sense of what the same approach looks like at scale, an appointment-setting firm in Minnesota says its text-based setup with Zapier and OpenAI handles 80 to 90% of first replies automatically. That is the company's own figure, from a high-volume system built by a technical team.

Gas safety records: finished at the appliance

Gas safety records on site is less about AI than about killing the evening paperwork. With Powered Now Professional at $43£32€38A$61C$60 a month for one user, a Gas Safe registered engineer in Coventry doing about 30 landlord checks a month completes each record on a phone, takes the signature and emails it before leaving. Write-ups drop from about 5 hours a month to about 1, saving around $186£140€167A$269C$263 at $47£35€42A$67C$66 an hour. Certificates are on Professional or Premium, not the Business plan.

Treat renewal reminders with care. A renewal date is the landlord's legal deadline and your repeat work, so record it first in your own diary and use the app's reminder only as a backup. Automations can fail silently, for example when an email bounces, so compare the two lists every month. The app records what you enter and doesn't check your readings; every figure is still your responsibility under your Gas Safe registration.

What to watch across all five

  • Per-user pricing: Tradify and Powered Now charge for every person who logs in, so price the plan for your whole team, not the headline figure.
  • Customer details are personal data under UK GDPR. Keep names, numbers and addresses in your job software, and give ChatGPT, Claude or Gemini only the work itself.
  • Records first: reminders are only as good as the dates behind them, so tidy your customer list before you switch anything on.
  • Your name is on everything: read every write-up, quote and certificate before it goes out. None of these tools diagnose a fault or check a reading.

Where to start

This week, write one standing instruction in the free plan of ChatGPT, Claude or Gemini and use it on your next five job write-ups. Then count the quotes you sent last month and how many you chased. If the answer is more than a handful sent and few chased, price Tradify Plus for your team on its UK pricing page and move your quote template into the app first, so that both quote and service reminders run from one place.
