Boiler service reminders for plumbers: fill the quiet months

Your job software texts or emails customers when their annual service is due, so repeat work books itself. From about £44 a month for one user.

The problem

Annual boiler services are easy money until nobody remembers whose is due. With 120 past customers on an annual service and no reminder system, many drift to whoever sends them a leaflet. If just 2 extra services a month (24 a year) at £85 each stay with you, that's £2,040 a year, about £170 a month.

What the AI does

Job software with service reminders keeps a date against each customer's maintenance visit and sends them a reminder when it comes round. The customer replies or rings, and you book the visit into your diary. You decide the wording and timing, and you can stop reminders for anyone who has moved or gone elsewhere.

A worked example

A solo plumbing and heating engineer in Leeds has about 120 customers on yearly boiler services at £85. He adds each customer's service date to Tradify Plus and lets it send the reminders, replying personally to anyone who asks a question.

Before

No reminders; of 120 customers, a few lapse each month

After

Every customer reminded when their service is due, with about 2 extra services a month kept, worth about £170

What it's worth

Around £170 a month in extra work, before materials and costs, from 2 extra services kept at £85 each. A service is mostly your time, so even a modest margin covers the £44 to £88 plan.

How to set it up

  1. Choose a plan that includes service reminders: Tradify lists them on its Plus plan, not on Lite or Pro.
  2. Add your existing annual-service customers with the date their next service is due.
  3. Write the reminder in your own words: your name, the service price, and how to book.
  4. Send the first batch to customers due in the next 4 to 6 weeks, then check replies after a few days.
  5. Each time you complete a service, set the next due date so the cycle repeats.

What goes wrong

  • The reminders are only as good as your records. Wrong dates mean wrong reminders, so tidy the list before you switch it on.
  • Tradify charges per user. A second user doubles the cost, so the £88 top of the range is for two people on Plus (£44 each).
  • Don't promise a fixed price in the reminder if parts or a second visit could change it.
