The front desk of a dental office loses hours to the phone: calls it can't answer at 8am, confirmation calls every afternoon, overdue recall patients nobody has time to chase. Six of the site's US ideas hand parts of that to software, mostly eServices inside Open Dental, plus Weave for missed calls and an AI assistant for review replies. Each comes with a worked example; the figures below are from those examples, which are illustrative practices built from stated assumptions, not real results. One rule runs through all of them: under HIPAA, any tool that touches patient information needs a signed Business Associate Agreement (BAA) first.
Confirmations, recall and cancellations in Open Dental
Two-way text confirmations to cut dental no-shows uses eConfirmations, which texts and emails patients before each visit so they can confirm with a tap; the desk then calls only the unconfirmed. In the Charlotte example, a two-dentist practice with about 500 appointments a month cuts confirmation calls from 1.5 hours a day to 30 minutes. That's about $441£332€395A$637C$623 a month of front desk time at an assumed $21£16€19A$30C$30 an hour, against $50£38€45A$72C$71 to $70£53€63A$101C$99 in fees: eConfirmations at $25£19€22A$36C$35 a month with a texting number, Integrated Texting at $5£4€4A$7C$7 and 4 cents a text.
Recall texts with online booking for dental practices uses Web Sched Recall to text or email overdue hygiene patients a link to book an open slot themselves. The Columbus, Ohio example has 300 patients overdue; if 6 to 12 extra hygiene visits a month book at an assumed $250£188€224A$361C$353 that's about $600£451€537A$866C$848 to $1,200£902€1,074A$1,732C$1,696 a month in profit at an assumed 40% margin, against about $90£68€81A$130C$127 to $110£83€98A$159C$155 in fees, with Web Sched Recall at $75£56€67A$108C$106 a month.
Fill short-notice dental cancellations from an ASAP list uses Web Sched ASAP: when a slot opens, staff send it to patients who asked for an earlier time, and a patient who wants it books it from the link. In the Tampa example, refilling 1 to 2 of 4 weekly cancellations at $250£188€224A$361C$353 is about $430£323€385A$621C$608 to $860£647€769A$1,242C$1,216 a month in profit at 40%, for $13£10€12A$19C$18 to $33£25€30A$48C$47 in fees. Web Sched ASAP is $20£15€18A$29C$28 a month, or free for practices on Web Sched Recall.

Missed calls and check-in forms
Missed-call texts for busy dental front desks uses Weave, a phone and texting platform for healthcare practices, to text back callers nobody answered so they reply instead of calling the next office. In the Austin example, if one extra new patient a week books at an assumed $350£263€313A$505C$495 for an exam, x-rays and cleaning, that's about $602£453€539A$869C$851 a month in profit at a 40% margin, against Weave's starting price of $199£150€178A$287C$281 a month. Only that starting price is public, so get a written quote that says which plan it buys and whether it's per location.
Phone check-in and medical history forms for dentists uses Open Dental's eClipboard, so patients fill in and sign forms on an office tablet or their own phone and the answers land in the record. In the Denver example, a practice seeing 25 patients a day saves about 22 hours a month of keying and scanning, about $459£345€411A$663C$649 at an assumed $21£16€19A$30C$30 an hour, for $45£34€40A$65C$64 a month. A dentist or hygienist still reads every change to medications, allergies or conditions before treatment starts.

Review replies without disclosing anything
Google review replies for dentists that stay HIPAA-safe is the one job here for a general assistant. Paste only the public review, with the name removed, into ChatGPT, Claude or Gemini and ask for a short reply that doesn't confirm the person is a patient and mentions no treatment, dates or billing. The money is small, about $36£27€32A$52C$51 a month of the office manager's time in the Phoenix example, on a free plan or about $20£15€18A$29C$28 a month. The real point is avoiding a reply like 'Sorry your crown took two visits', which confirms the reviewer is a patient and describes their care; the idea treats that as a HIPAA disclosure even when the patient posted first.

HIPAA, the BAA and the other shared pitfalls
- BAA before patient data: Open Dental has its own Business Associate Agreement and doesn't sign other versions, so sign it before eServices go on. Weave publishes a Business Associate Addendum for its clients. Have the signed copy on file first.
- Consumer AI plans never see protected health information. No chart notes, ledger details or patient names go into ChatGPT, Claude or Gemini; the review reply idea works from the public review alone.
- TCPA: text only patients who gave a cell number and agreed to texts, and honor STOP replies. The ideas apply this to appointment and recall texts as well as promotions.
- Ask about A2P 10DLC: neither Open Dental's fees page nor Weave's pricing page says how texting numbers are registered with carriers or whether a fee applies.
- Keep messages short: texts over 160 characters cost extra in Open Dental, and a message should carry a first name, the time and a link, never treatment details.
- Support stays on: every Open Dental eService needs the office on support with the eConnector installed. Drop support and they all stop.
Which one first, and how they fit together
If the practice runs Open Dental, start with eConfirmations. It's easy to set up, its saving is front desk time you can measure in the first week rather than an assumed booking, and it puts the BAA and Integrated Texting in place for everything after it. Add Web Sched Recall next, which also makes Web Sched ASAP free, so recall and cancellations share one texting account and one set of fees. eClipboard fits whenever the paper clipboard is the bottleneck.
If the real leak is the phone, with new patients hanging up at 8am and lunchtime, Weave is the one to price, but only with a written quote. Weave also lists appointment reminders, text confirmations and online scheduling, so if you add it, decide which system sends which message; two systems texting the same patient about the same visit is confusing. With October here, year-end benefit reminders for unscheduled dental work is worth a look too: Open Dental's Treatment Finder lists patients with planned treatment, no appointment and benefits left before a January reset.
Where to start
First, find out whether the practice already has a signed BAA with Open Dental, and if not, sign and return it. Then turn on eConfirmations for one week of appointments, call only the patients who haven't confirmed, and compare the time against your usual confirmation afternoon. Each idea page has the full arithmetic, setup steps and pitfalls.
