AI for estate agents: 6 jobs to hand over, and which to start with

Six ways an estate agency can save hours on listings, vendor updates, viewings, ID checks, floor plans and reviews, with costs and where to begin.

Much of a negotiator's week goes on writing and chasing: listing descriptions, Friday vendor updates, viewing confirmations, ID requests. AI tools and simple automations can now draft, send and chase a good share of it for little or nothing a month, as long as a person checks every fact before it reaches a buyer or vendor. This guide covers six ideas from the site for estate agents, what each costs and saves in its worked example, and the order to try them in. The figures are illustrative, built from typical numbers rather than a named agency.

Start with the writing: listings and vendor updates

The two cheapest ideas use a general AI assistant. Listing drafts checked against the facts has you type the verified facts as bullet points (tenure, council tax band, EPC rating, parking, what is included in the sale) into ChatGPT, Claude or Gemini and ask for a draft in your house style. In the worked example, a three-negotiator agency in Stockport takes on about 15 instructions a month and cuts each description from 45 minutes to about 25. That is about 5 hours a month, worth around $133£100€119A$192C$188 if your time is worth $27£20€24A$38C$38 an hour.

Weekly vendor updates from viewing notes does the same for the Friday emails. The example agency has 25 properties on the market, and a draft brings each update down from 15 minutes to about 8. That saves about 12.5 hours a month, worth around $333£250€298A$480C$470 at the same rate, which makes it the biggest time saving of the six. Both ideas run on the assistants' free plans; a paid plan costs up to about $27£20€24A$38C$38 a month for one person if you hit usage limits.

Listing drafts for estate agents, checked against the facts

ChatGPT, Claude or Gemini turn your viewing notes into a draft listing that you check against the facts. Free to about $27£20€24A$38C$38 a month.

  • Costs Free–$27Free–£20Free–€24Free–A$38Free–C$38/mo
  • Worth $133£100€119A$192C$188/mo
  • Pays for itself in a few days
  • Easy to set up

Weekly vendor updates for estate agents from viewing notes

ChatGPT, Claude or Gemini turn your viewing feedback notes into a weekly update for the vendor to read. Free to about $27£20€24A$38C$38 a month.

  • Costs Free–$27Free–£20Free–€24Free–A$38Free–C$38/mo
  • Worth $333£250€298A$480C$470/mo
  • Pays for itself in a few days

The rule for both is the same: the assistant only words what you give it, and it can still get things wrong. It can add a south-facing garden that isn't there, or soften what an applicant said about the price. A misleading listing is a consumer protection problem for the agent, not the software, and leaving out material information such as tenure counts as much as stating something wrong. Check every line against your records. Pass on every offer to the vendor yourself, promptly and in your own words, never through a weekly draft.

Then the follow-ups: viewings and reviews

Viewing confirmations in Apex27 uses the CRM's Viewings Manager, which sends applicants and vendors confirmations by email and text. At 40 viewings a week, the example agency saves about 8.6 hours a month, worth around $229£172€205A$330C$323 against Apex27 at $47£35€42A$67C$66 a user a month plus VAT, or $140£105€125A$202C$197 for three negotiators. That price covers the whole CRM, so this only adds up if you already use Apex27 or were planning to switch. Apex27's page doesn't describe reminder timings or wording, so check both in the 30-day free trial before promising applicants anything.

Review requests after every completion is a two-step Zapier automation. The negotiator adds a row to a Google Sheet on completion day, and Zapier sends the buyer or seller an email from your Gmail account with a direct link to your Google review page. It runs on Zapier's free plan, which allows two-step Zaps and 100 tasks a month, plenty for 16 emails. The worked example values it at about $266£200€238A$384C$376 a month in profit, but that rests on an assumption of one extra $3,990£3,000€3,570A$5,760C$5,640 sale every six months, so treat it as a guess and watch your own figures. Ask every client, whatever the sale was like, and offer nothing in return.

Apex27's Viewings Manager sends applicants and vendors email and text confirmations. $47£35€42A$67C$66 a user a month plus VAT; 30-day free trial.

  • Costs $140–168£105–126€125–150A$202–242C$197–237/mo
  • Worth $229£172€205A$330C$323/mo
  • Pays for itself within the month
  • Some setup needed

The two with money attached: floor plans and ID checks

Floor plans drawn on site in PlanUp replaces an outside floor plan service. The negotiator measures each room with a laser measure and draws the plan on an iPad or iPhone at the appointment. With 10 instructions a month and an assumed $60£45€54A$86C$85 a plan, the example saves about $422£317€377A$609C$596 a month after negotiator time, against a 10-plan bundle at $43.88£32.99€39.26A$63.34C$62.02 a month plus VAT. That is the best return on money spent of the six, but only if a plan takes about 40 minutes to draw; at an hour a plan the saving shrinks fast. A second person checks every floor area, because a wrong figure in particulars misleads buyers.

ID and AML checks with Thirdfort moves buyer and seller due diligence into Thirdfort's app. The example agency runs about 40 checks a month and saves about 13.3 hours, worth around $390£293€349A$563C$551 at $29£22€26A$42C$41 an hour. Essentials starts from $110£83€99A$159C$156 a month plus VAT on a 12-month contract, and credits for each check are priced on request. At that volume it only pays back if credits cost less than about $6.38£4.80€5.71A$9.22C$9.02 a check, so get the price in writing before you sign. A completed check is not a decision: under the Money Laundering Regulations, your nominated officer still judges each result and records why.

  • Pays for itself in about two weeks

How they fit together

The six ideas share one input: facts someone at the agency has checked once. The fact list you write for a listing is the same list you need for material information. The viewing records in your CRM are what the Friday vendor update is drafted from. The completion date that closes the file is what triggers the review request. Keep one accurate record of each property and each sale, and every tool drafts or sends from it. Where the record is wrong, every tool repeats the mistake, so the check belongs at the start, when the facts go in.

What to watch across all six

  • Personal data. Keep vendor and applicant names, phone numbers and emails out of consumer AI plans; give the assistant property facts and anonymized feedback only. Check your privacy notice covers review emails and texts under UK GDPR.
  • A person signs off. Listings, vendor updates, floor areas and AML results all get a human check before they leave the office.
  • Contracts and seats. Apex27 is priced per user on a 30-day rolling contract, Thirdfort Essentials runs for 12 months, and PlanUp bundles are per office.
  • Silent failures. Zapier can stop without telling you, so compare its history with the completions sheet each week, and check each morning that the day's viewings were confirmed.
  • Free plan limits. The assistants' free plans have usage limits, and Zapier's free plan stops at two-step Zaps; adding a delay or a second email needs Professional at $19.99 (about $20£15€18A$29C$28) a month billed annually.

Where to start

This week, take your next new instruction and write its listing from a bullet list of checked facts in ChatGPT, Claude or Gemini, timing it against your usual way. On Friday, do the same for five vendor updates. Both are free, need no setup and show within a week whether drafting saves your team time. If they do, set up the review request Zap next. Then start PlanUp's free trial and draw plans of two properties you already have professional plans for, so you can compare accuracy before you cancel your floor plan supplier.
