The problem
The EYFS requires a written record of accidents, injuries, first aid and medicines given, and parents must be told the same day or as soon as reasonably practicable. At a busy pick-up, forms go unsigned or missing. A 60-place nursery with 40 accident forms and 30 medicine records a month spends nearly 8 hours chasing signatures, filing and reviewing.
What the AI does
Tapestry's Care Diary records accidents, incidents and medication, and its site says parents can sign off forms digitally from their own device. Reports help spot patterns, such as repeated bumps in one area of a room. Staff record each accident or dose at the time, a senior checks it, the parent is told at pick-up and signs in the app. All features are included in every Tapestry package, priced by number of children. Famly's Premium plan ($211£159€189A$305C$299 a month) also includes medication and accident forms, for nurseries already on Famly.
A worked example
A 60-place nursery in Cardiff with 90 children on roll records about 40 accidents and 30 medicine doses a month. It moves from paper forms to Tapestry, with parents signing in the app.
Before
70 forms at 5 minutes chasing signatures, plus 2 hours filing and review: about 7.8 hours a month
After
70 forms at 1.5 minutes, plus 30 minutes of review: about 2.3 hours a month
What it's worth
About $120£90€107A$173C$169 a month of staff time saved (5.6 hours at an assumed $21£16€19A$31C$30 an hour). Tapestry for up to 90 children is $386£290€345A$557C$545 a year excluding VAT, about $32£24€29A$46C$45 a month, or $39£29€35A$56C$55 with VAT.
How to set it up
- Set up accident, incident and medication forms in Tapestry and check they capture what the EYFS requires.
- Make sure written permission from parents is in place for each medicine before it is given.
- Record each entry at the time, and have a senior check it before it goes to the parent.
- Tell the parent in person at pick-up, then ask them to sign in the app the same day.
- Review the reports monthly for unsigned forms and patterns, and act on them.
What goes wrong
- Serious accidents and injuries must be notified to Ofsted within 14 days, and to local child protection agencies. The app form doesn't do that for you.
- A signature in an app is not the same as telling the parent. Keep the conversation at pick-up.
- Parents who don't use the app still need a way to sign. Keep paper forms for them.
- The price rises with the number of children on the account, so archive leavers.
