The problem
Officers are good at dealing with incidents and less keen on writing them up. Supervisors spend about 20 minutes turning each officer's notes into a report the client and, sometimes, the police or insurers can use. At 30 incidents a month, that's 10 hours.
What the AI does
The officer records the facts in short notes: times, what they saw and heard, what they did, who was told. The supervisor removes names and identifying details, pastes the notes into ChatGPT, Claude or Gemini and asks for a factual report in the client's format, written in the past tense with no opinions added. The supervisor checks every line against the notes, puts the details back and the officer confirms it before it goes to the client.
A worked example
A guarding company in Derby handles about 30 reportable incidents a month across retail and office sites. Supervisors draft reports from officers' notes with an assistant, and officers confirm them.
Before
30 reports a month at 20 minutes each: 10 hours
After
30 reports at about 8 minutes each to clean, draft and check: 4 hours
What it's worth
About $200£150€179A$288C$282 a month in time saved: 6 hours (10 down to 4) at an assumed $33£25€30A$48C$47 an hour. The free plans of ChatGPT, Claude and Gemini can do this; a paid plan costs up to about $27£20€24A$38C$38 a month for one person if you hit usage limits.
How to set it up
- Give officers a short note format: time, place, what happened, what they did, who was informed.
- Remove names, descriptions of individuals and anything that identifies people before pasting.
- Ask for a factual, past-tense report in your client's format, with nothing added that isn't in the notes.
- Check every line against the notes, put the details back, and have the officer confirm it.
- Keep the officer's original notes with the report.
What goes wrong
- An assistant may add detail or tidy wording into something the officer didn't say. A report that may become evidence must reflect only what happened.
- Keep the original notes unchanged. If the matter goes to court or an insurer, the first record matters.
- Names and descriptions of people involved in incidents are personal data, sometimes about alleged crimes. Never paste them into a consumer AI plan.
- Some clients have their own reporting system or format; follow it.
