The problem
Alarm and CCTV installers live on maintenance contracts, but visits slip when the diary is kept in a spreadsheet. If 10 maintenance visits a month are forgotten or put off, and 6 of them could be booked at $126£95€113A$182C$179 that's $758£570€678A$1,094C$1,072 a month of work not done, and customers whose systems aren't being maintained as agreed.
What the AI does
Tradify is job management software. Its Plus plan includes service reminders, which remind customers when a recurring service is due. You record each maintained system with its next visit date, and the reminders go out ahead of time so the office can book visits in quieter weeks instead of discovering overdue ones.
A worked example
An intruder alarm and CCTV installer in Northampton has 2 engineers and about 300 customers on maintenance contracts. The office moves contracts into Tradify Plus with each system's next visit date.
Before
About 10 maintenance visits a month missed or put off
After
Customers reminded automatically; about 6 more visits a month booked at $126£95€113A$182C$179
What it's worth
About $303£228€271A$438C$429 a month in profit, at an assumed 40% margin on $758£570€678A$1,094C$1,072 of extra visits (6 a month at $126£95€113A$182C$179). Tradify Plus is $59£44€52A$84C$83 a user a month, so 2 users (an engineer and the office) is $117£88€105A$169C$165.
How to set it up
- List every maintained system with its customer, address, contract type and last visit date.
- Set up the customers in Tradify Plus with each system's next service date.
- Turn on service reminders and check the wording and timing in the settings.
- Book reminded visits into the quietest weeks and keep the site notes and test results on each job.
- Each month, review any system more than a few weeks overdue and phone the customer.
What goes wrong
- Service reminders need Plus; Lite and Pro don't include them. Tradify charges per user, so price every engineer who needs a login.
- A reminder isn't a visit. Contracts and your certification body's rules set what must happen; check overdue systems monthly yourself.
- Some customers don't read emails; keep a phone call for anyone who doesn't book after a reminder.
- Customer and alarm details are sensitive. Limit who can see system codes and keep them out of job notes.
