The problem
Guarding hours come in by phone, text and paper timesheets, and someone in the office has to add them up for payroll and for each client's invoice. With 25 officers at 6 minutes each a week, that's over 10 hours a month, and when a client queries an invoice, there's no proof the officer was on site.
What the AI does
Connecteam's Operations hub includes a real-time time clock with GPS, unlimited jobs (sites) and a payroll integration. The Advanced plan adds auto clock-out, up to 10 geofence sites, repeating shifts and shift templates. Officers clock in on their phones when they arrive within a site's geofence, hours are recorded against the site, and you export approved timesheets for payroll and for each client's invoice.
A worked example
A manned guarding company in Peterborough has 25 officers covering 8 sites on rolling shifts. It moves timesheets and the rota into Connecteam Operations Advanced, with a geofence around each site.
Before
25 timesheets a week at 6 minutes each to chase and total: 150 minutes a week, about 10.75 hours a month
After
Hours recorded at clock-in, checked and exported in about 30 minutes a week: about 2.15 hours a month
What it's worth
About $286£215€256A$413C$404 a month in time saved: about 8.6 hours (10.75 down to 2.15) at an assumed $33£25€30A$48C$47 an hour, plus site-stamped records when a client queries hours. Connecteam Operations Advanced is $49 (about $49£37€44A$71C$70) a month billed yearly or $59 (about $59£44€52A$84C$83) monthly for the first 30 users.
How to set it up
- Start Connecteam's 14-day free trial and set up each site as a job with a geofence around it.
- Build the rota with repeating shifts and send officers the app.
- Explain to officers what location data is collected, and that it's only while they're on the clock.
- Approve timesheets weekly and export them for payroll and client invoicing.
- When a client queries hours, use the clock-in records to answer.
What goes wrong
- Officers' location is personal data. Tell them in writing what is tracked, when and why, under UK GDPR.
- Advanced allows up to 10 geofence sites; an eleventh site needs Expert at $99 a month billed yearly.
- Phones run out of battery on long night shifts. Agree a backup for clocking in when the app can't be used.
- Pricing covers the first 30 users; growing past 30 officers adds a per-user charge.
