The problem

Rotas live on a WhatsApp group and a paper diary, so Saturday cover and holiday clashes turn into a chain of messages. If it takes 45 minutes a week, that's about 3.2 hours a month (45 x 4.3 / 60).

What the AI does

RotaCloud is rota software. Its site lists a mobile app, shift swapping, staff availability and holiday management. Staff put in their availability and holiday requests, you build the week, and everyone sees it on their phone. Pricing is by team size, including you, so a five-person salon sits in the 1 to 5 band: Standard £10 a month and Pro £15 on the page when checked. Optional SMS notifications are £2 in that band; the page doesn't say per what, so check before adding them. Keep the rota separate from your appointment book: it tells you who is in, not who is booked.

A worked example

A five-person hair salon in Chester, owner plus four stylists, two of them part-time, has busy Fridays and Saturdays and four school-holiday weeks a year.

Before

45 minutes a week building and changing the rota by message: 45 x 4.3 = 194 minutes, 3.2 hours a month

After

15 minutes a week in RotaCloud: 15 x 4.3 = 65 minutes, 1.1 hours a month

What it's worth

About 2.1 hours a month saved (129 minutes), worth around £54 if your time is worth £25 an hour. RotaCloud Standard is £10 a month for 1 to 5 people; Pro is £15 and adds extras like labour forecasting you may not need, so the net is about £44 on Standard.

How to set it up

  1. Start the 30-day free trial and add everyone, including yourself, with their usual days and contracted hours.
  2. Ask each stylist to put in their availability and holiday dates in the app.
  3. Build next week's rota from availability, then publish it so the team gets it on their phones.
  4. Agree one rule: shift swaps go through the app, not the group chat.
  5. After the trial, choose Standard unless you need Pro's extras.

What goes wrong

  • Pricing is by headcount including you. A sixth person moves you to a higher band (the page's selector showed Standard £20 for 6 to 10 people); check the price for your team size.
  • SMS notifications are an optional extra, and the page doesn't say what the £2 covers.
  • The rota doesn't know about appointments. Check the booking diary before you finalise a week.
  • Working time rules still apply, including holiday entitlement and rest breaks; the software doesn't make those decisions for you.
