The problem
Chair rent paid by bank transfer arrives late or forgotten, and chasing colleagues for money is uncomfortable. With 3 renters paying weekly, chasing and checking takes about 20 minutes per renter a week, an hour a week in all, about 4.3 hours a month.
What the AI does
GoCardless collects Direct Debits from bank accounts and charges per payment, with no monthly subscription. Its pricing page lists subscription payments on every plan, which can be paused, edited, scheduled or canceled from the dashboard. Set each renter's weekly rent up as a subscription matching their chair rental agreement; each renter authorizes it once through the GoCardless payment page, and the dashboard shows what has been paid and what has failed.
A worked example
A salon in Huddersfield has 3 self-employed stylists renting chairs at $200£150€179A$288C$282 a week each, paid by bank transfer. The owner moves all 3 onto GoCardless weekly subscriptions collected every Monday, as their agreements already say.
Before
About 1 hour a week chasing and checking 3 weekly rent transfers
After
Rent collected every Monday by Direct Debit; about 15 minutes a week checking the dashboard
What it's worth
About $108£81€96A$156C$152 a month in time saved: 45 minutes a week saved, times 4.3 is about 3.2 hours, worth $108£81€96A$156C$152 at $33£25€30A$48C$47 an hour. GoCardless Standard costs about $29£22€26A$42C$41 a month here (1% of $200£150€179A$288C$282 plus 20p is $2.26£1.70€2.02A$3.26C$3.20 a payment, times 3 renters, times 4.3 weeks), or about $35£26€31A$50C$49 with the VAT it charges on fees.
How to set it up
- Make sure each renter has a written chair rental agreement stating the rent, collection day and notice period.
- Open a GoCardless account and create a weekly subscription for each renter.
- Send each renter the payment page link to authorize the Direct Debit, with notice of the first collection.
- Check the dashboard on collection day and talk to anyone whose payment failed.
- Update subscriptions when rent changes, in line with the agreement's notice period.
What goes wrong
- Chair rental only works for genuinely self-employed stylists. Employment status depends on how they work, not what the agreement says; check HMRC's guidance or ask your accountant.
- Collecting monthly instead of weekly cuts fees: one $865£650€774A$1,248C$1,222 payment is capped at $5£4€5A$8C$8 against about $9.71£7.30€8.69A$14.02C$13.72 for 4.3 weekly payments.
- Standard has no automatic retry of failed payments; that comes with Advanced and Pro. GoCardless also charges VAT on its fees.
