The problem
At the end of each clinic day someone types takings into Xero and later matches card payouts to them. At 15 minutes a day, 5 days a week, that's about 5.4 hours a month, and mistakes surface at VAT or year end.
What the AI does
Fresha's help center says its Xero integration syncs sales, payments, refunds, fees and payouts to Xero, using account mappings you set, with each sale shown as synced, pending or failed. If a mapping breaks, the integration pauses and notifies you. Voiding a sale is blocked while the integration is on; you refund and resell instead. The Xero Accounting add-on is €8.95 (about $11£8€10A$15C$15) a location a month on Fresha's pricing page, for a clinic that already books and takes payment through Fresha and already pays for Xero.
A worked example
A two-practitioner aesthetics clinic in Solihull books and takes payments through Fresha and uses Xero Grow. The manager adds the Xero add-on, maps treatments, retail products and fees to the clinic's Xero accounts and checks the sync once a week.
Before
About 15 minutes a day typing takings into Xero and matching payouts
After
Sales and payouts sync automatically; about 15 minutes a week checking, saving about 4.3 hours a month
What it's worth
About $172£129€154A$248C$243 a month in time saved: 1 hour a week saved (75 minutes less 15), times 4.3 is about 4.3 hours, worth $172£129€154A$248C$243 at $40£30€36A$58C$56 an hour. That is against the Fresha Xero add-on at €8.95 (about $11£8€10A$15C$15) a month, shown in local currency; Fresha and Xero Grow ($52£39€46A$75C$73 a month) are assumed already paid.
How to set it up
- Check with your accountant how sales, card fees and payouts should be mapped in Xero.
- Add the Xero Accounting add-on in Fresha and connect your Xero organization.
- Map treatments, products, fees and payouts to the right Xero accounts, using general categories rather than treatment names where possible.
- Check the sync status weekly and fix any failed sales.
- Refund and resell in Fresha to correct a sale, rather than editing it in Xero.
What goes wrong
- Synced invoices can carry client names and treatment descriptions into Xero. Treatments such as anti-wrinkle injections linked to a name are health information under UK GDPR, so map services to general categories and limit who can see Xero.
- Changes to mappings only apply to new transactions; anything already synced stays as it was.
- Fresha shows prices in local currency; check the pound price of the add-on on its page.
