The problem
A tire depot is busiest on Saturdays and Monday mornings and needs at least two fitters in at all times. Building the rota on paper and sorting holidays and swaps by text takes the manager about 2 hours a week, nearly 9 hours a month, and one uncovered Saturday morning means turning work away.
What the AI does
RotaCloud is rota software. Its site lists drag-and-drop rota planning, staff availability, holiday management and shift swapping on the Standard plan, with leave request rules on Pro. Fitters see their shifts and ask for swaps and holidays in the mobile app, and the manager approves them with the whole week in view, so it's obvious before approving when a Saturday would drop to one fitter.
A worked example
A tire depot in Ipswich has a manager and four fitters working a six-day week. The manager moves the rota from a wall chart and a group chat to RotaCloud Standard for the 1 to 5 staff band.
Before
About 2 hours a week on the rota, holidays and swaps: nearly 9 hours a month, and 1 short-staffed Saturday most months
After
About 30 minutes a week; swaps and holidays approved in the app with cover visible
What it's worth
About $213£160€190A$307C$301 a month in manager time: 1.5 hours a week saved, 6.45 hours a month at 4.3 weeks, worth about $214£161€192A$309C$303 at an assumed $33£25€30A$48C$47 an hour. That is against $13£10€12A$19C$19 a month on Standard, or $20£15€18A$29C$28 on Pro, for up to 5 staff.
How to set it up
- Start RotaCloud's 30-day free trial and add your staff, including yourself.
- Ask each fitter to enter the days they can and can't work.
- Build a standard week with two fitters minimum on every shift, then copy it forward.
- Have holiday and swap requests made in the app, and approve them only once cover is in place.
- Publish the rota at least two weeks ahead.
What goes wrong
- Pricing goes by headcount including you. A sixth person moves you to the next band, about $27£20€24A$38C$38 a month on Standard.
- A rota isn't a record of hours worked or holiday pay. Keep what payroll and the Working Time rules need.
- Staff need to check the app. Agree what happens when someone misses a change.
