The problem
Paper sign-in sheets get typed up days later, if at all, and by then the visitors have been to six other open houses. If an agent holds 4 open houses a month with about 15 visitors each, that's 60 potential buyers and sellers, and about 3 hours of typing names into the CRM. If faster follow-up turned 1 more visitor a year into a closing at an average commission of $9,000£6,767€8,053A$12,992C$12,722 to the agent, that's $750£564€671A$1,083C$1,060 a month in commission.
What the AI does
Build a short sign-in form in Jotform (name, email, cell phone, whether they're working with an agent, and separate consent boxes for texts and emails) and open it on a tablet at the door; Jotform's mobile forms page says they collect data even without internet access. A two-step Zapier automation takes each new submission and uses Follow Up Boss's New Inquiry or Website Event action, so the visitor arrives in the CRM as a new lead with the open house address. From there your usual Follow Up Boss routing, first text and Action Plan take over, for visitors who agreed to be contacted. The agent sends a personal note the same evening.
A worked example
An illustrative example built from typical figures, not a named business.
A solo agent in Nashville who already uses Follow Up Boss holds about 4 open houses a month with around 15 visitors each. She replaces the paper sheet with a Jotform form on a tablet and a Zapier automation into Follow Up Boss.
Before
60 visitors a month on paper, about 3 hours of typing, follow-up 2 to 4 days later
After
Every visitor in Follow Up Boss within minutes and contacted the same day; an assumed 1 extra closing a year at $9,000£6,767€8,053A$12,992C$12,722 commission
What it's worth
About $450£338€403A$650C$636 a month in profit, against no extra cost. That assumes 1 extra closing a year from open house visitors, $750£564€671A$1,083C$1,060 a month of commission at an average $9,000£6,767€8,053A$12,992C$12,722 to the agent after the brokerage split, at an assumed 60% margin after marketing and other costs. Jotform's free plan allows 100 submissions a month and Zapier's free plan 100 tasks of two-step Zaps, enough for 60 visitors. It needs Follow Up Boss, which this agent already pays for ($58£44€52A$84C$82 to $69£52€62A$100C$98 a month on Grow).
How to set it up
- Build the Jotform form with only what you need: name, email, cell phone, working with an agent (yes or no), and unticked boxes for texts and for emails.
- Leave out any question about family, age, religion or where someone is from, in line with the Fair Housing Act.
- In Zapier, start a Zap on each new Jotform submission and add the Follow Up Boss New Inquiry or Website Event action, with the open house address as the source.
- Set Follow Up Boss to text only visitors who ticked the text box, since marketing texts need prior express written consent under the TCPA.
- Test the form and Zap at home with your own details before the first open house, and check the Zap history against the sign-ins the next morning.
- For visitors who aren't working with an agent, follow your brokerage's forms for buyer representation agreements before you tour homes with them.
What goes wrong
- Zapier can fail silently. Compare its history with the Jotform submissions after every open house.
- Free plans have limits: Jotform allows 5 forms and 100 submissions a month, and Zapier 100 tasks and two-step Zaps only. A busy month or a second step, such as a tag, needs paid plans (Jotform Bronze $34£26€30A$49C$48 a month billed annually, Zapier Professional $19.99£15.03€17.89A$28.86C$28.26).
- A pre-ticked consent box isn't consent. Visitors who don't tick it should get a personal email at most, never an automated text sequence.
- Offline sign-ins only reach Zapier once the tablet is back online, so check them before you rely on the follow-up being automatic.
