The problem
Buyers and sellers read reviews before they call an agent, but asking at closing is easy to forget in the rush of keys and paperwork. With 3 closings a month, that's 36 clients a year, and many are never asked. If more reviews brought in 1 extra client every 18 months at an average commission of $9,000£6,767€8,053A$12,992C$12,722 to the agent, that's $500£376€447A$722C$707 a month in commission.
What the AI does
Zapier watches Follow Up Boss for the Person Stage Updated event. A filter lets through only contacts moved to your Closed stage, a delay waits a few days after closing, and a Gmail step sends a short thank-you from the agent with the direct link to your Google Business Profile review page. Every client who closes is asked, not only the happy ones. The agent reads and replies to each review personally.
A worked example
A solo agent in Austin closes about 3 deals a month and rarely remembers to ask for reviews. She already uses Follow Up Boss and adds a Zapier automation that emails every closed client 3 days after closing.
Before
About 36 clients a year, most never asked for a review
After
All 36 asked 3 days after closing; an assumed 1 extra client every 18 months at $9,000£6,767€8,053A$12,992C$12,722 commission
What it's worth
About $350£263€313A$505C$495 a month in profit, against a $20£15€18A$29C$28 cost. That assumes 1 extra client every 18 months from reviews, $500£376€447A$722C$707 a month of commission at an average $9,000£6,767€8,053A$12,992C$12,722 to the agent after the brokerage split, at an assumed 70% margin. Zapier Professional is $19.99£15.03€17.89A$28.86C$28.26 a month billed annually or $29.99£22.55€26.83A$43.29C$42.39 billed monthly; the free plan's two-step Zaps can't hold the filter and delay. Google Business Profile is free, and Follow Up Boss is the CRM the agent already uses.
How to set it up
- Copy the direct review link from your Google Business Profile.
- Make sure every closing ends with the contact moved to the same Closed stage in Follow Up Boss.
- In Zapier, start with Follow Up Boss Person Stage Updated, add a filter for the Closed stage, a 3-day delay, and a Gmail step with a short thank-you and the review link.
- Send it to every client who closes, whatever the deal was like, and offer nothing in return.
- Check the Zap history each week against your closings, and reply to every review yourself.
What goes wrong
- Google's policies don't allow asking only satisfied clients or offering anything for a review. Ask everyone, with no incentive.
- Zapier can fail silently or stop if the Follow Up Boss connection expires. Compare its history with your closings every week.
- Stage names have to match exactly. If one agent uses Closed and another Past Client, the filter misses half the clients.
- A review reply that mentions the deal's price, terms or the client's circumstances can breach their privacy. Keep replies short and general.
