The problem
Contractor clients email or text certificate of insurance requests with half the details missing: the holder's legal name, the address, the project, whether additional insured wording is needed. If the CSR handles 60 requests a month at 12 minutes each, including the back-and-forth, that's 12 hours a month.
What the AI does
Jotform is an online form builder. The agency builds one certificate request form with the fields a CSR needs: client name, certificate holder's legal name and address, project or job, and whether the contract asks for additional insured status or a waiver of subrogation, with the contract upload. Conditional logic shows the extra questions only when they apply. Jotform emails each request to the CSR and sends the client an automatic confirmation. The CSR issues the certificate from the agency management system as before. A certificate only shows the coverage the policy has; if a contract calls for additional insured status the policy doesn't give, a licensed agent talks to the client about an endorsement, as state department of insurance licensing rules require.
A worked example
An illustrative example built from typical figures, not a named business.
A four-person agency in Jacksonville insures about 120 contractors and gets about 60 certificate requests a month. It puts a link to the Jotform request form in every contractor's welcome email and in the CSR's email signature.
Before
12 minutes a request for 60 requests: 12 hours a month
After
About 6 minutes a request, with complete details: 6 hours a month
What it's worth
About $168£126€150A$243C$237 a month saved, at no cost. That's 6 hours (12 less 6) at an assumed $28£21€25A$40C$40 for a CSR hour. Jotform's free Starter plan allows 5 forms and 100 submissions a month, enough for 60 requests; Bronze is $34£26€30A$49C$48 a month billed annually for 1,000 submissions.
How to set it up
- List the details your CSR always has to ask for, and make each one a required field on the form.
- Add conditional questions for additional insured status, waiver of subrogation and primary and noncontributory wording, plus a contract upload.
- Turn on the email notification to the CSR and an automatic confirmation to the client that says when certificates are usually issued.
- Have the CSR check each request against the policy before issuing, and send anything the policy doesn't cover to a licensed agent.
- Send the form link to every contractor client and reply to emailed requests with the link.
What goes wrong
- A certificate doesn't change coverage. Issuing one that shows additional insured status the policy doesn't give can expose the agency to an errors and omissions claim.
- The free plan stops at 100 submissions a month. A spring rush past that needs Bronze.
- Some clients still email requests. Keep the old inbox checked so nothing urgent waits.
- Contract uploads hold client business details. Delete old submissions from Jotform on a schedule your data security rules set.
