The problem
Letting agents order lock changes between tenancies and boarding-up after break-ins, then ask for the invoice again, the job sheet for the landlord, or the date you're booked in. If 30 of those requests a month each take 6 minutes to find and resend, that's 3 hours a month, plus interruptions while you're on jobs.
What the AI does
Powered Now's Premium plan includes a customer portal: customers log in to see their quotes, invoices, appointments and documents. Give each letting agency and landlord a login, and they can download the paperwork for every property themselves. Every Powered Now plan also puts a pay-now link on invoices, so agents can pay by card from the portal copy.
A worked example
A locksmith in Bristol does about 25 jobs a month for 6 letting agencies, mostly lock changes at tenancy changeovers. The owner moves to Powered Now Premium ($53£40€48A$77C$75 a month for one user, excluding VAT) and gives each agency's property managers a portal login.
Before
About 30 'can you resend that?' calls and emails a month
After
About 5 a month; most agents find invoices and job sheets in the portal
What it's worth
About $117£88€105A$169C$165 a month of time saved, from 25 fewer resend requests at 6 minutes each (2.5 hours) at $47£35€42A$67C$66 an hour. That is against $53£40€48A$77C$75 a month for Powered Now Premium.
How to set it up
- Choose Powered Now Premium, the plan with the customer portal, and move your account customers into it.
- Set each agency up as a customer with its properties, so jobs, invoices and documents are filed by address.
- Send each property manager their login with a short note on what they'll find there.
- Raise every quote, invoice and job sheet in Powered Now so it appears in the portal.
- When someone still asks for a resend, send it once with a reminder that it's in the portal.
What goes wrong
- The portal only shows what's in Powered Now. Paperwork sent from your own email or another app won't be there.
- Premium is $53£40€48A$77C$75 per user a month, so a second locksmith with a login doubles it. Business and Professional don't include the portal.
- Check who at each agency should have access, and remove a property manager's login when they leave.
- Agents often want their own order number on invoices. Add it to the job before invoicing.
