The problem
A repair at a managed property can run to 30 emails between tenant, landlord and contractor. Before ringing a landlord to approve a quote, a property manager re-reads the thread to get the facts straight: about 10 minutes a time. At 15 such calls a week across a team, that's 2.5 hours a week, nearly 11 hours a month.
What the AI does
Gemini in Gmail works in a side panel next to the email. Open the thread, click Ask Gemini and ask for the fault, when it was reported, access arranged, quotes received and what is still waiting, as bullet points. Google describes it as turning long threads into concise bullet points and drafting or refining emails. You check the summary against the thread before the call, then ask it to draft the follow-up, which you edit and send. It comes with Google Workspace Business Starter (about $8£6€7A$12C$11 per user a month).
A worked example
A letting agency in Nottingham manages 180 properties with 3 property managers on Google Workspace. Each manager asks Gemini for a summary of the repair thread before ringing the landlord.
Before
About 10 minutes re-reading each thread: 15 calls a week, 2.5 hours
After
About 3 minutes checking a summary: 45 minutes a week
What it's worth
About $250£188€224A$361C$353 a month in time saved, against about $24£18€21A$35C$34 for 3 Workspace Business Starter users. Prep drops from 2.5 hours to 45 minutes a week, and 1.75 hours times 4.3 is about 7.5 hours a month at an assumed $33£25€30A$48C$47 an hour.
How to set it up
- Use Google Workspace Business Starter (€6.80, about $8£6€7A$12C$11 per user a month on a one-year commitment) or above: about $24£18€21A$35C$34 a month for 3 users.
- Keep each repair in one thread with the property address in the subject line.
- Before the call, open the thread, click Ask Gemini and ask: 'Summarize this repair: fault, date reported, access, quotes received, and what's still outstanding.'
- Check the summary against the thread, especially dates and amounts.
- After the call, ask Gemini to draft the follow-up email confirming what the landlord approved, then edit and send it.
- Record the approval and any deadlines in your property management system as usual.
What goes wrong
- It only sees Gmail. Calls, texts and portal messages aren't in the summary, so check your property system too.
- A summary can miss a reply. Safety repairs such as gas, electrics, damp and mold stay tracked in your property management system with a human check, not in an inbox summary.
- Tenants' and landlords' details are personal data under UK GDPR. Google says it doesn't use customers' Workspace data to train its generative AI; personal Google AI plans are on consumer terms.
- Business Starter covers Gemini in Gmail only. Each extra user adds about $8£6€7A$12C$11 a month.
