The problem
A booth firm running 3 booths on a Saturday needs an attendant for each, often students who are free some weekends and not others. Juggling who's free, sending venues and set-up times and covering last-minute dropouts takes the owner about 2 hours a week, about 8.6 hours a month, and a no-show attendant means the owner drives out to do it.
What the AI does
RotaCloud is staff rota software with free mobile apps. Its Standard plan includes drag and drop rota planning, staff availability patterns, shift swapping and unlimited shift notifications by email and push, with daily, weekly and monthly labor costs. Attendants set when they're free, you add each event as a shift, and they see it on their phone. If someone can't make it, they swap through the app and you approve it.
A worked example
A photo booth firm in Surrey with the owner and 4 part-time attendants runs up to 3 booths on busy weekends. They swap the group chat for RotaCloud Standard, with attendants keeping their availability up to date.
Before
About 2 hours a week arranging attendants: about 8.6 hours a month
After
About 30 minutes a week to build the rota and approve swaps: about 2.2 hours a month
What it's worth
About $213£160€190A$307C$301 a month saved, against $13£10€12A$19C$19 for RotaCloud Standard. That's about 6.4 hours (8.6 minus 2.2) at an assumed $33£25€30A$48C$47 an hour. RotaCloud is priced by number of employees including the owner, and 5 people is in the 1 to 5 band at $13£10€12A$19C$19 a month on Standard.
How to set it up
- Start the 30-day free trial and add yourself and each attendant; the price counts everyone, including you.
- Ask attendants to set their availability patterns, such as 'most Saturdays, no Sundays'.
- Add each event as a shift, naming the venue, arrival time and which booth is going.
- Publish the rota so attendants are notified, and handle swaps in the app.
- Check weekly labor costs against what each event pays.
What goes wrong
- Clocking in and timesheets are a paid add-on. Keep tracking hours for pay the way you do now unless you add it.
- A sixth person moves you into the next price band, so check the price before adding seasonal helpers.
- Part-time attendants are still workers with rights to holiday pay and the National Minimum Wage.
- The rota doesn't move the booth. Make sure each shift says who collects the kit and the vehicle.
