The problem
Corporate clients and agencies ask for a written proposal: what the booth does, how it fits their event, branding, data capture, timings and price. Writing one from scratch takes about 90 minutes, and with 6 corporate inquiries a month that's 9 hours, for work that often goes to whoever replies first.
What the AI does
A general AI assistant can turn a brief and your notes into a structured proposal. Paste in the client's brief (event, audience, numbers, theme) with the client's name removed, plus your package descriptions and price list, and ask ChatGPT, Claude or Gemini for a proposal with an introduction, how the booth fits the event, what's included, timings and next steps, using only what you gave it. Then check every price, feature and time against your own list, and add photos from your own past events.
A worked example
A photo booth firm in Manchester gets about 6 corporate inquiries a month. The owner pastes each brief and their package notes into an assistant, then edits the draft into their proposal template.
Before
About 90 minutes per proposal: 6 × 90 = 540 minutes, 9 hours a month
After
About 30 minutes per proposal to paste, check and edit: 180 minutes, 3 hours a month
What it's worth
About $200£150€179A$288C$282 a month saved, against nothing to about $27£20€24A$38C$38 for an assistant. That's 6 hours (540 minus 180 minutes) at an assumed $33£25€30A$48C$47 an hour. The free plans of ChatGPT, Claude and Gemini can do this; a paid plan is up to about $27£20€24A$38C$38 a month for one person if you hit usage limits. Replying sooner may win more of the work, which isn't counted.
How to set it up
- Keep one document with your package descriptions, price list, set-up needs and standard terms to paste in each time.
- Paste the client's brief, without their name, and that document into ChatGPT, Claude or Gemini and ask for a proposal with your headings.
- Check every price, feature and timing against your own list, and remove anything you don't offer.
- Add your own photos from past events and put it into your branded template.
- Send it within a day and follow up a few days later.
What goes wrong
- An assistant will happily promise features you don't have, such as unlimited prints or AI effects. Cut anything that isn't in your packages.
- A client's brief may be confidential. Check your assistant's data settings and leave out names and anything marked confidential.
- Generic proposals read as generic. Add one or two specifics only you would know about the venue or event.
