The problem
After a corporate event, the client wants a debrief: attendance, feedback, budget against plan and ideas for next year. Writing it from survey sheets, budgets and notes takes about 3 hours, and with 2 events a month that's 6 hours.
What the AI does
A general AI assistant can turn a planner's material into a structured draft. Paste in anonymised survey scores, the budget summary and your own bullet points on what went well and what didn't, and ask ChatGPT, Claude or Gemini for a report with sections for attendance, feedback themes, budget against plan and recommendations. You check every figure against the source and rewrite anything that sounds generic. Remove attendee names and any comment that could identify someone before pasting.
A worked example
A two-person planner in Glasgow runs 2 corporate events a month and writes a 3 to 4 page debrief for each. They paste anonymised survey scores, the budget summary and their notes into an assistant, then edit the draft.
Before
About 3 hours per report: 2 × 3 = 6 hours a month
After
About 1 hour per report to prepare the notes and check the draft: 2 hours a month
What it's worth
About $133£100€119A$192C$188 a month saved, against nothing to about $27£20€24A$38C$38 for an assistant. That's 4 hours (6 minus 2) at an assumed $33£25€30A$48C$47 an hour. The free plans of ChatGPT, Claude and Gemini can do this; a paid plan is up to about $27£20€24A$38C$38 a month for one person if you hit usage limits.
How to set it up
- Export the survey results and remove names, emails and any comment that identifies a person.
- Write 5 to 10 bullet points of your own on what went well, what went wrong and why.
- Paste the scores, budget summary and bullets into ChatGPT, Claude or Gemini and ask for a debrief with set headings, using only what you gave it.
- Check every number against the survey sheet and budget, and replace generic lines with specifics from the day.
- Put it on your letterhead and send it with a date for a debrief call.
What goes wrong
- An assistant can invent figures or smooth over problems. Every number must match your own records, and bad news stays in.
- Client budgets and supplier prices can be commercially confidential. Check your assistant's data settings, and leave out the client's name if their contract requires it.
- A report that reads like a template looks lazy to a client paying a planning fee. Add the details only you know.
