The problem

An instructor teaching 32 lessons a week at $51£38€45A$73C$71 for 46 weeks takes about $74,347£55,900€66,521A$107,328C$105,092 a year, over the $66,500£50,000€59,500A$96,000C$94,000 that brought Making Tax Digital for Income Tax in from 6 April 2026. Quarterly updates are due 7 August, 7 November, 7 February and 7 May. Typing up fuel receipts and mileage from a notebook each month takes about 3 hours.

What the AI does

Total Drive records lesson income from your diary and payments, and lets you add expenses and business and personal mileage on the road. Its Making Tax Digital page says you connect it to QuickBooks, Xero, FreeAgent, Sage or FBTC, map your categories to HMRC's once, then sync when you choose: sync is manual, not automatic. Xero's UK pricing page lists 'MTD for Income Tax ready' on every plan, including Ignite at $24£18€21A$35C$34 a month excluding VAT, and you send the quarterly update from there. Put the four deadlines in your own diary first and sync a week before each one.

A worked example

A self-employed manual instructor in Leicester teaches 32 lessons a week at $51£38€45A$73C$71 and keeps fuel receipts in the door pocket and mileage in a notebook.

Before

About 3 hours a month typing up receipts and mileage into a spreadsheet

After

Expenses and mileage logged in the app as they happen; about 45 minutes a month checking and syncing

What it's worth

About $74£56€67A$108C$105 a month of time saved, against about $48£36€43A$69C$68 for Total Drive Basic ($24£18€21A$35C$34 including VAT) and Xero Ignite ($24£18€21A$35C$34 excluding VAT, about $29£22€26A$42C$41 with it). That's 2.25 hours at an assumed $33£25€30A$48C$47 an hour. Xero's page offers new UK customers 90% off for the first 6 months.

How to set it up

  1. Check on GOV.UK whether Making Tax Digital for Income Tax applies to you and when, based on your qualifying income.
  2. Write the four quarterly deadlines and the 31 January final declaration in your own diary, with a reminder a week before each.
  3. Log every expense and business journey in Total Drive the day it happens.
  4. Connect Total Drive to Xero, map the categories once, and sync before each quarterly update.
  5. Check the synced totals against Total Drive, then submit from Xero or ask your accountant to.

What goes wrong

  • Sync is manual. If you forget, Xero is missing a quarter's figures; your diary reminder, not the app, is what keeps you on time.
  • Any automation or app can fail without telling you; check the totals in Xero against Total Drive before every submission.
  • Ignite allows 20 invoices and 10 bills a month. That's fine for logging lessons, but check the limits if you also invoice through Xero.
  • Simplified mileage (55p a mile for the first 10,000 miles from 6 April 2026) can't be used for a car you've claimed capital allowances on; ask your accountant which method suits you.
