The problem
Patients and carers send photos of a sore toe or a dressing by WhatsApp to the podiatrist's own phone, where they sit outside the record. If 8 photos a week arrive that way and saving each to the notes takes 5 minutes, that's 40 minutes a week, about 2.9 hours a month (40 x 4.3 / 60), plus health data left on a personal phone.
What the AI does
Zanda offers two-way sharing of files between practice and clients through the client portal and online forms, up to 30 MB a file. Patients and carers upload photos to the portal, so the podiatrist reviews them in the system and nothing is kept on a personal phone. The podiatrist decides what a photo means and whether the patient needs to be seen.
A worked example
A podiatrist in Cornwall gets about 8 foot photos a week from patients and carers on WhatsApp. They switch to uploads through Zanda's portal and tell patients that's where photos now go.
Before
8 photos a week saved from WhatsApp by hand: about 2.9 hours a month
After
Photos arrive in the system; about 1 minute each to review, about 0.6 hours a month
What it's worth
About $137£103€123A$198C$194 a month of the podiatrist's time, at an assumed $60£45€54A$86C$85 an hour, against $20£15€18A$29C$28 for Zanda Starter. That's 4 minutes saved on each of 8 photos a week: 32 minutes x 4.3, about 2.3 hours. The bigger gain is getting patient photos off a personal phone.
How to set it up
- Turn on the client portal in Zanda and check that uploading works from a phone browser.
- Tell patients and carers that photos now go through the portal, and say on the upload page that it isn't watched all day.
- Move any photos already on your phone into the record, then delete them from your phone and WhatsApp.
- Set a time each day to review uploads, and ring the patient if anything needs action.
- Update your privacy notice to cover photos sent through the portal.
What goes wrong
- A photo isn't an assessment. Tell patients with signs of infection, a new wound or a diabetic foot problem to ring or get urgent care, not to wait for you to see an upload.
- Uploads aren't monitored around the clock. Make that clear wherever patients send photos.
- Some carers will keep using WhatsApp out of habit. Reply asking them to use the portal instead of saving the photo yourself.
- Zanda's pricing page doesn't say where UK data is hosted. Ask, and get a data processing agreement.
