The problem
Online clients get a video link pasted by hand into an email or text, sometimes from a personal Zoom or WhatsApp account. If you see 12 online clients a week and sending and checking each link takes 3 minutes, that's 36 minutes a week, about 2.6 hours a month (36 x 4.3 / 60), with the risk of a link going to the wrong client.
What the AI does
Zanda runs video consultations through Zoom, with in-app links and telehealth-type locations, and its client portal shows clients their telehealth links. Telehealth Pro costs $9£7€8A$13C$13 a practitioner a month on top of the plan, with 4 free Telehealth Pro sessions a month included, and there are free options too. Online sessions are booked as online, so you stop copying links by hand.
A worked example
A counselor in Leeds sees 20 clients a week, 12 of them online. They move from a personal Zoom account to Zanda Starter with Telehealth Pro, so each online client finds their session link in the portal.
Before
3 minutes a session sending links by hand: 2.6 hours a month
After
About 30 seconds a session to check the booking: about 0.4 hours a month
What it's worth
About $129£97€115A$186C$182 a month of the counselor's time, at an assumed $60£45€54A$86C$85 an hour, against $29£22€26A$42C$41 a month for Zanda Starter and Telehealth Pro. That's 2.5 minutes saved on each of 12 online sessions a week: 30 minutes x 4.3, about 2.15 hours.
How to set it up
- Check Zanda's UK pricing page: Starter is $20£15€18A$29C$28 a month for 1 practitioner, and Telehealth Pro is $9£7€8A$13C$13 a month per practitioner.
- Set up an online location and appointment type for video sessions, and test a call with a colleague.
- At contracting, agree with each online client where they'll be, what happens if the call drops, and how help is reached in an emergency.
- At the start of each session, check the client is somewhere private and note their location in case you need to get help.
- Don't record sessions. If there's ever a reason to, it needs the client's explicit agreement first.
What goes wrong
- Online work isn't right for every client or level of risk. That's a clinical judgment you make before offering it, guided by your professional body's guidance on online working.
- Zanda's page describes its video as HIPAA-compliant, which is a US standard. Ask where UK data is held and get a data processing agreement.
- 4 free Telehealth Pro sessions a month won't cover a full online caseload, so budget for the $9£7€8A$13C$13.
- Agree a phone fallback in advance for when a connection fails.
