The problem
A client forgets a session and the 50-minute slot sits empty. If you see 22 clients a week, 2 miss a session and you don't charge for missed sessions, at $80£60€71A$115C$113 a session that's about $686£516€614A$991C$970 a month (2 x $80£60€71A$115C$113 x 4.3).
What the AI does
Zanda can send up to three automated SMS and email reminders per appointment, with adjustable timing, and clients can confirm by replying to a text. You choose the timing and keep the wording discreet: a day, a time and your first name, not the word therapy. A client who can't make it can reply in time for you to offer the slot to someone else.
A worked example
A counselor in Bristol sees 22 clients a week and averages 2 missed sessions. They set up an email reminder two days before and a text the day before in Zanda Starter.
Before
About 2 missed sessions a week: about $686£516€614A$991C$970 a month unpaid
After
About 1 missed session a week: about $343£258€307A$495C$485 a month back
What it's worth
About $309£232€276A$445C$436 a month in profit, at an assumed 90% margin on $343£258€307A$495C$485 of sessions no longer missed (1 a week x $80£60€71A$115C$113 x 4.3), since the room and the counselor's time are already committed. Zanda Starter is $20£15€18A$29C$28 a month and the texts about $12£9€11A$17C$17 (22 a week x 4.3 x 9p).
How to set it up
- Check Zanda's UK pricing page: Starter is $20£15€18A$29C$28 a month and texts are 9p each.
- Write reminder wording with just the day, the time and your first name.
- At contracting, agree with each client how they'd like to be reminded, and record it.
- Set one email and one text reminder, and check replies each morning.
- After two months, compare missed sessions with the two months before.
What goes wrong
- A reminder on a shared phone or family email can reveal that someone is in therapy. Agree the channel with each client and let them opt out.
- If your agreement already charges for missed sessions, the gain is fewer awkward conversations rather than more income.
- A client who stops replying or attending may be at risk or disengaging. Follow it up as a clinician, not as an admin task.
- Zanda's pricing page doesn't say where UK data is hosted. Ask, and get a data processing agreement.
