The problem
In a busy coworking space, every guest means someone at the front desk finding the member, phoning or messaging them and writing the visitor in a paper book that nobody could use in a fire. At 10 visitors a day and 3 minutes each, that's nearly 11 hours a month, and the paper book doesn't tell you who is still inside.
What the AI does
Sign In App is visitor management software. Its Core plan, per site, includes unlimited sign-ins, pre-registrations, email and mobile push notifications to hosts, and live shared evacuation reports. Members pre-register guests or are notified as soon as their guest signs in on the iPad, and in an evacuation the fire marshal opens the live list on their phone to see who is on site.
A worked example
A coworking space in Nottingham with 50 members sees about 10 visitors a weekday. It replaces the paper visitors book with Sign In App on an iPad at reception, and makes the evacuation list part of its fire drill.
Before
10 visitors a day at 3 minutes of front-desk time each: about 10.75 hours a month
After
Guests sign themselves in and hosts are notified: about 30 seconds each, about 1.8 hours a month
What it's worth
About $299£225€268A$432C$423 a month in time saved: about 9 hours a month (10 visitors a day over about 21.5 weekdays, 2.5 minutes saved each) at an assumed $33£25€30A$48C$47 an hour. Sign In App Core is $552£415€494A$797C$780 a year per site, about $47£35€42A$67C$66 a month; you need an iPad or tablet, which may already be at reception.
How to set it up
- Start Sign In App's 15-day free trial and add your members as people visitors can choose to visit.
- Set up the iPad at reception with the questions you need and your site's rules.
- Ask members to pre-register regular guests and switch on their notifications.
- Add the live evacuation list to your fire procedure and practice using it in the next drill.
- Check that the visitor details you keep, and for how long, match your privacy notice.
What goes wrong
- The evacuation list is only accurate if people sign out. Put the sign-out point by the door and remind members.
- Visitor records are personal data. Keep them only as long as you need them.
- Core is priced per site; a second location needs a second subscription.
- If you run Nexudus, its plans list visitor management too; check whether you need both.
