The problem
Community managers answer the same questions all day: the Wi-Fi password, how to print, can I bring a guest, how do I book the big room, where's my invoice. If a space with 70 members gets 150 of these a month by email and WhatsApp at 4 minutes each, that's 10 hours a month of interruptions.
What the AI does
Nexudus's pricing page lists an AI-powered help-desk among the features in all its coworking plans. Its help pages say the AI searches your published FAQ articles and summarizes the most relevant answer across chat, email, WhatsApp and voice, and says clearly when it can't find an answer rather than guessing. You write short FAQ articles for the questions you hear most, set who can see them, and members who still need a person submit a help-desk request.
A worked example
A coworking space in Bristol with about 70 members already runs Nexudus for bookings and billing. The community manager writes 25 short FAQ articles from the questions in their inbox and turns on the AI answers.
Before
About 150 routine questions a month at 4 minutes each: 10 hours
After
About 90 of them (60%) answered by the AI from FAQs, saving 6 hours a month
What it's worth
About $200£150€179A$288C$282 a month in time saved, if the AI answers 60% of routine questions: 90 questions at 4 minutes is 6 hours, at an assumed $33£25€30A$48C$47 an hour. Nexudus is $166£125€149A$240C$235 a month per location for up to 79 active users ($188£141€168A$271C$265 for 80 to 149), and the AI help-desk is listed in all plans; if you already run Nexudus for billing and bookings, it costs nothing extra.
How to set it up
- List the 25 questions you answer most from your inbox, WhatsApp and the front desk.
- Write one short FAQ article for each, in plain, conversational language, and publish them.
- Set the FAQ access setting so members, and visitors if you want, can get answers.
- Ask the AI awkward versions of each question and rewrite articles it struggles with.
- Each month, read the help-desk requests the AI couldn't answer and add FAQ articles for them.
What goes wrong
- The AI only knows what's in your published FAQs. Out-of-date articles give out-of-date answers; update them when anything changes.
- Don't put the Wi-Fi password or door codes in an FAQ visible to non-members.
- Check with Nexudus which channels (chat, email, WhatsApp, voice) your plan includes before promising members all of them.
- Some questions need a person: complaints, billing disputes, anything about safety. Make sure those reach the help-desk.
