The problem
Owners get a statement each month, but the numbers rarely explain themselves: why was the water heater $1,400£1,053€1,253A$2,021C$1,979 when will the vacant unit fill, is the late tenant paying. If a manager writes a short note for each of 40 owners at about 15 minutes each, that's 10 hours a month, and when the notes slip, owners call instead.
What the AI does
After the statement is final in your property management software, list each owner's facts as bullet points: income, repairs with amounts and vendors, vacancies and showings, late payments by unit (not tenant name), upcoming renewals and anything you need the owner to decide. Paste them into ChatGPT, Claude or Gemini and ask for a short, plain note in your voice. The assistant words only the facts you give it and does no arithmetic. The manager checks every figure against the statement, which comes from your trust accounting, and sends the note with the statement.
A worked example
An illustrative example built from typical figures, not a named business.
A property manager in Denver looks after 70 units for 40 owners. On the 10th of each month, after statements are final, she lists each owner's facts, has an assistant draft the note, and checks and sends it with the statement.
Before
About 15 minutes a note for 40 owners: 10 hours a month
After
About 6 minutes a note to list the facts, check the draft and send: 4 hours a month
What it's worth
About $180£135€161A$260C$254 a month saved, against a cost of nothing to $20£15€18A$29C$28. That's 6 hours a month (9 minutes on each of 40 notes), worth $180£135€161A$260C$254 if your time is worth $30£23€27A$43C$42 an hour. The free plans can do this; a paid plan is about $20£15€18A$29C$28 a month for one person if you hit usage limits.
How to set it up
- Finalize and reconcile the month's statements in your property management software before writing any note.
- List each owner's facts as bullet points by unit, with no tenant names, bank details or account numbers.
- Paste them into ChatGPT, Claude or Gemini and ask for a short note in your voice that uses only those facts and asks the owner for any decision you need.
- Check every dollar figure and date in the draft against the statement, and remove anything that isn't on it.
- Send the note with the statement from your usual system, and keep a copy in the owner's file.
What goes wrong
- An assistant can round, total or restate a figure wrongly. Trust account records are governed by your state's real estate rules, so the statement is the record and every number in the note matches it.
- Tenant names, payment histories and owner bank details are personal data. Keep them out of consumer AI plans, or use a business plan such as Claude Team or ChatGPT Business ($20£15€18A$29C$28 to $25£19€22A$36C$35 a seat; ChatGPT Business needs at least 2 seats).
- A note shouldn't give owners legal or tax advice, for example on eviction or deductions. Refer those questions to an attorney or their tax preparer.
- Free plans have usage limits; drafting 40 notes in one sitting may hit them.
