The problem
Tenants ask the same things again and again: when is the plumber coming, what do I owe, can I get a pet. If a company managing 140 units handles about 300 routine calls and texts a month at 5 minutes each, that's 25 hours of staff time, and the ones that arrive at night wait until morning or ring the on-call manager's cell phone.
What the AI does
DoorLoop is property management software. On its Connect plan, the Receptionist Agent answers tenant calls, texts, portal messages and email, nights and weekends included. The vendor says it checks the open work orders already in DoorLoop when it answers, works from the policies you give it, and passes anything that falls outside policy, is sensitive or needs judgment to your team with the conversation and the reason attached. You decide what it may do on its own. Tenants still report repairs the way your process says; the agent answers the routine questions and hands over the rest. Write clear policies first: what counts as an emergency, who pays for what, pets, parking and rent due dates.
A worked example
A property management company in Phoenix with 3 staff manages 140 units for 50 owners and already uses DoorLoop One. It moves to Connect, writes its policies into the Receptionist Agent, and has the office manager clear escalations each morning and read a sample of conversations each week.
Before
About 300 routine tenant calls and texts a month at 5 minutes each: 25 hours, plus night calls to the on-call cell phone
After
About 90 escalations at 5 minutes each plus 150 minutes of review: 10 hours a month
What it's worth
About $390£293€349A$563C$551 a month saved, against $250£188€224A$361C$353 a month extra if you already use DoorLoop One. That's 15 hours a month, worth $390£293€349A$563C$551 if staff time costs $26£20€23A$38C$37 an hour. For 140 units, One costs $310£233€277A$448C$438 a month (100 units at $2.50£1.88€2.24A$3.61C$3.53 and 40 at $1.50£1.13€1.34A$2.17C$2.12) and Connect costs $560£421€501A$808C$792 ($4£3€4A$6C$6 a unit), so the step up is $250£188€224A$361C$353. Bought new at $560£421€501A$808C$792 it only pays back if the rest of DoorLoop replaces software you already pay for.
How to set it up
- Write your policies in plain language: emergencies, repair responsibilities, pets, parking, rent due dates, late fees and office hours.
- Tell tenants that gas leaks, fires and flooding go to 911 or your emergency line, never only to a message, and set the agent to pass anything about an emergency to staff at once.
- Start with staff approving anything that changes a record, and give the agent more freedom only once its answers have been right for a few weeks.
- Clear every escalation each morning and read a sample of 20 conversations each week for wrong answers.
- Keep repair timelines in line with your state's habitability rules and the lease, and don't let the agent promise a date staff haven't set.
What goes wrong
- The vendor's page doesn't say how the agent treats emergencies. Test it with your own messages about a smell of gas or water through the ceiling before tenants rely on it.
- Questions about who qualifies for a unit, pet exceptions or an accommodation for a disability are fair housing questions. Set them to go to staff every time.
- Connect is priced per unit with a $299£225€268A$432C$423 minimum, and its shared pool for announcements, texts and AI messages shows 10 credits without saying what a credit covers. Ask before relying on high volumes.
- Wrong answers sound confident. A manager reviews a sample every week and corrects the policy text when an answer is off.
