The problem
Each renewal means a recommendation to the owner, their decision, and an offer to the tenant, all before the notice date in the lease or state law. If a manager with 120 units handles about 12 renewals a month and spends 40 minutes on each writing the owner email and the tenant offer, that's 8 hours a month, and a late offer can mean a lease rolling to month-to-month on old terms.
What the AI does
The lease end date and the last day to give notice are recorded first in your property management software, from the signed lease, and a named person checks the expiring-leases report every week: that's the deadline record. For each renewal, the manager gathers the facts (current rent, comparable rents, payment record, open maintenance, the lease's notice terms) and pastes them, without tenant names, into ChatGPT, Claude or Gemini to draft the recommendation email to the owner. Once the owner approves the terms, the assistant drafts the tenant's renewal offer from them. A licensed manager checks both against the lease and state and local rules, then sends them from your usual system.
A worked example
An illustrative example built from typical figures, not a named business.
A property management company in Dallas manages 120 units, with about 12 leases coming up for renewal each month. The leasing manager checks the expiring-leases report every Monday, drafts owner recommendations 90 days out and tenant offers once owners reply, using an assistant for both.
Before
About 40 minutes a renewal on the owner email and tenant offer: 8 hours a month for 12
After
About 15 minutes a renewal to gather facts, check the drafts and send: 3 hours a month
What it's worth
About $125£94€112A$180C$177 a month saved, against a cost of nothing to $20£15€18A$29C$28. That's 5 hours a month (25 minutes on each of 12 renewals), worth $125£94€112A$180C$177 if staff time costs $25£19€22A$36C$35 an hour. The free plans of ChatGPT, Claude and Gemini can do this; a paid plan is about $20£15€18A$29C$28 a month for one person.
How to set it up
- Record each lease's end date and notice date in your property management software from the signed lease, and name the person who checks the expiring-leases report every Monday, plus a deputy.
- Check your state's and city's rules on renewal and rent increase notices; some states and cities cap increases or require longer notice.
- Paste the renewal facts, without tenant names, into ChatGPT, Claude or Gemini and ask for a short owner recommendation with the options and your suggested terms.
- Once the owner approves in writing, have the assistant draft the tenant offer from those terms only, then check it against the lease and the brokerage's forms.
- Send the offer from your usual system before the notice date and log the date sent.
What goes wrong
- Reminders in any software can fail silently. The weekly check of the expiring-leases report by a named person is the control, and the assistant tracks no dates at all.
- A rent increase or non-renewal soon after a tenant asks for repairs can look like retaliation, which many states prohibit. Base terms on written, consistent reasons the owner approves.
- Renewal terms must be decided the same way for every tenant; offering different terms for a protected reason breaches the Fair Housing Act.
- An assistant can misstate a lease term or a date. Every figure in the offer is checked against the lease before it goes out.
