A no-show costs the whole slot: the time was set aside, it's too late to fill, and chasing a fee afterwards is awkward. Booking software now offers three fixes, in rising order of firmness: reminders so people don't forget, a waitlist so a late cancellation gets refilled, and a deposit or full prepayment so the slot is paid for either way. This guide takes six ideas from clinics, salons, barbers, tutors, coaches and studios, shows what each costs and saves in its worked example, and helps you pick. The figures are illustrative, built from typical numbers rather than named businesses.
Reminders: the cheapest fix for forgetting
SMS lesson reminders for tutors uses TutorBird, which sends automated email and text reminders set days or hours before each lesson; its FAQ says the texts are included in the subscription. You write the wording yourself and can add the video link for online lessons, so students join with one click. In the worked example, an online A-level chemistry tutor in Leeds loses about 2 lessons a week at $60£45€54A$86C$85. If reminders halve that, about $258£194€231A$372C$365 a month comes back, against about $19£14€17A$27C$26 a month for TutorBird. The halving is an assumption, so count your own no-shows for two months.
Reminders fix forgetting, not changes of plan. They also only reach people whose number is right, so check contact details each term, and for younger students send reminders to the parent rather than the child.
Tutors

Automatic email and text reminders before every lesson, with your cancellation policy enforced in the parent portal. TutorBird, from about $19£14€17A$27C$26 a month.

- Worth $258£194€231A$372C$365/mo
- Pays for itself in a few days
- Easy to set up
Waitlists and fees: refill the gap, or charge for it
A Booksy waitlist for barbers uses Booksy's Smart Automated Waitlist, which its site says notifies clients on your waitlist as soon as a slot opens; the plan also lists confirmations and reminders. The example is a three-barber shop in Doncaster with 12 late cancellations a month at $29£22€26A$42C$41 a cut. If the waitlist refills half, that is $176£132€157A$253C$248 a month, against $67£50€60A$96C$94 plus VAT ($53£40€48A$77C$75 plus $7£5€6A$10C$9 for each of 2 extra barbers). If you already use Booksy, the waitlist costs nothing extra. It only works if clients join it, so mention it every time the diary is full.
Late-cancel fees for Pilates studios goes a step further. TeamUp's penalty system charges members a fee automatically once they meet your late cancellation or no-show criteria. You set the number of strikes, the time window and the fee; it needs a GoCardless or Stripe integration, and fees are scheduled three to seven days after the trigger so you can skip one you want to waive. TeamUp says it is included on every plan, and moving to TeamUp is $132£99€118A$190C$186 a month for up to 100 active customers. The example reformer studio in Cheltenham has 10 late cancellations or no-shows a week at $29£22€26A$42C$41. If half of those now cancel early enough for the waitlist to take the place, that is about $567£426€507A$818C$801 a month in profit at an assumed 90% margin, before any fees collected.
Barbers
Fill canceled barber slots with a Booksy waitlist
Booksy notifies clients on your waitlist when a slot opens, and sends booking reminders. $53£40€48A$77C$75 a month plus $7£5€6A$10C$9 for each extra barber, plus VAT.

Deposits and prepayment: the slot is paid either way
Booking deposits for private GP clinics uses Medesk's online payment integration, which takes a fixed amount or a percentage of the fee when patients book online. The example, a two-GP clinic in Bath with about 400 appointments and 10 no-shows a month at $160£120€143A$230C$226 asks for a $53£40€48A$77C$75 deposit. If no-shows halve, it gains about $745£560€666A$1,075C$1,053 a month: $479£360€428A$691C$677 in profit from 5 fewer no-shows at an assumed 60% margin, plus $266£200€238A$384C$376 of deposits kept from the 5 who still don't come. The module adds 20% to Medesk Pro, about $51£38€45A$73C$71 a month on the clinic's $255£192€228A$369C$361 plan, before card fees. The GP can waive the deposit for patients for whom paying up front would be a barrier.
Color prepayments for hair salons uses Square Appointments. Its pricing page lists prepayments on every plan, including Free, but its help article on prepayment policies says they are for Plus and Premium subscribers, so check your settings; Plus is $39£29€35A$56C$55 a month per location and adds cancellation fees charged to a card on file. The example four-stylist salon in Harrogate loses 3 color appointments a month at $120£90€107A$173C$169. If prepayment stops 2 of them, $239£180€214A$346C$338 a month is kept, for $0£0€0A$0C$0 to $39£29€35A$56C$55 a month plus card fees of 1.4% + 25p on UK cards online.
The same tool suits one-to-one work. Prepaid coaching sessions has a tennis coach in Harrogate, teaching 25 private sessions a week at $47£35€42A$67C$66 require full payment at booking. The 2 sessions a week that used to go unpaid are now covered, about $400£301€358A$578C$566 a month. Card fees apply to every session, though, about $106£80€95A$154C$150 a month on all 25 a week, so if most clients already pay by bank transfer, compare those fees with the no-shows you actually lose.

Which to choose, and the rules for all of them
Match the fix to the price of the slot. For low-priced, regular bookings such as lessons, haircuts and classes, start with reminders and add a waitlist; a deposit on a $29£22€26A$42C$41 cut is a lot of friction for little money. For long or expensive slots that are hard to refill at short notice, such as color, private GP appointments and one-to-one coaching, take a deposit or full prepayment. Before you buy anything, check what your booking software already includes: Booksy's waitlist and TeamUp's penalty system cost nothing extra on those platforms.
- Terms first. Deposit, prepayment and fee terms must be clear and visible before the client books, and fair under consumer law. If the terms weren't shown, you may not be able to keep the money.
- Card fees come off every payment, including payments from clients who would have turned up anyway.
- Deposits can put off people who need to be seen. A clinic should keep a phone route open, and a genuine emergency or illness may deserve a refund.
- Mistakes need fixing by hand. If a member is marked as a no-show in error after being charged, refund or credit them.
- Pricing grows with you. Square Plus is $39£29€35A$56C$55 a month per location, Booksy adds $7£5€6A$10C$9 plus VAT for each extra user, and TeamUp's price rises with active customers.
Where to start
Count first. For a month, write down every no-show and late cancellation, the price of the slot and how much notice you got. If the misses were mostly forgotten bookings, turn on reminders in the booking software you already use. If they came with an hour's notice, add a waitlist. Only if long or expensive slots still go empty, write a plain deposit policy, put it on your booking page, and book a test appointment yourself to see exactly what a client sees before you switch it on.
