The problem
At 8am and lunchtime the phones ring while the desk checks patients in. If 10 calls a week go to voicemail and 2 were new patients who then call another office, at an assumed $350£263€313A$505C$495 for a new-patient exam, x-rays and cleaning, that's about $3,000£2,256€2,684A$4,331C$4,241 a month of first visits (2 x $350£263€313A$505C$495 x 4.3) walking away.
What the AI does
Weave is a phone and texting platform for healthcare practices. Its missed call texting sends an automatic text to a caller nobody answered, so they can reply instead of trying the next office, and the front desk picks up the thread in two-way texting. Weave also lists appointment reminders, text confirmations and online scheduling. HIPAA: Weave publishes a Business Associate Addendum that applies to its clients; have it on file before patient conversations move to text.
A worked example
An illustrative example built from typical figures, not a named business.
A one-dentist practice in Austin with two front desk staff misses about 10 calls a week at peak times and adds Weave for missed call texting.
Before
About 10 missed calls a week; 2 new patients a week lost to other offices
After
1 of those 2 replies to the text and books each week
What it's worth
About $602£453€539A$869C$851 a month in profit, against Weave's starting price of $199£150€178A$287C$281. One extra new patient a week at $350£263€313A$505C$495 is about $1,505£1,132€1,347A$2,173C$2,127 of first-visit production (x 4.3); at an assumed 40% margin that's $602£453€539A$869C$851 before any later treatment. If both missed new patients book, it doubles to $1,204£905€1,077A$1,738C$1,702.
How to set it up
- Get a written quote: Weave's pricing page shows only a $199£150€178A$287C$281 a month starting price, so confirm which plan includes missed call texting, whether it's per location, and the contract length.
- Put Weave's Business Associate Addendum on file with your HIPAA records before texting patients.
- Write a short missed-call text with the practice name, an apology for missing the call and an invitation to reply or book. No clinical questions by text.
- Make one front desk person responsible for answering texts during business hours, and set a reply for after hours.
- Keep replies to the reason the patient called; add promotional texts only for patients who gave prior express written consent, as the TCPA requires.
What goes wrong
- Only the starting price is public; the higher plans are priced on request, so the real cost may be more than $199£150€178A$287C$281.
- An automatic text answers no one's question. If nobody replies for hours, it only delays the patient calling elsewhere.
- Patients may text symptoms or insurance details. Keep replies short, move clinical questions to a call or visit, and never forward texts to a personal phone.
- Weave's pricing page doesn't mention A2P 10DLC registration fees. Ask during the quote.
